Join Cisco’s UK & Ireland Sales organization - one of our fastest-growing sales teams, and the talent engine for Cisco Sales that consistently delivers profitable growth. We are now looking for an Executive Admin to support 3 Directors in the sales org

Your Impact As an Executive Assistant, you will provide comprehensive support to the 3 Sales Directors handling complex calendars, orchestrating critical meetings, and coordinating essential travel. You will be instrumental in ensuring smooth operations by resolving technical issues, implementing protocols, and serving as a trusted liaison for collaborators, both internal and external. This role offers the opportunity to influence and optimize executive workflows, contribute to special projects, and proactively manage information flow for high-level leaders.

Responsibilities include

  • Diary Management: Lead complex calendar management and schedule appointments for three Directors, navigating competing priorities and global time zones.
  • Meeting Coordination: Plan and organise meetings, including agenda preparation, logistics coordination, and professional partner communication.
  • Travel Management: Coordinate comprehensive domestic and international travel arrangements, including detailed itineraries and pre-travel briefings.
  • Expense Management: Lead end-to-end expense management for all three Directors using SAP Concur. This includes the timely and accurate submission of claims, meticulous tracking of all flight and hotel requests and associated charges, and maintaining these details within a central shared folder for transparency and audit purposes.
  • You will also be responsible for generating and presenting comprehensive monthly expense reports to the Directors, enabling them to evaluate expenditure and monitor budget utilisation effectively.
  • Communication: Draft and manage confidential internal correspondence and oversee administrative requests and approvals on behalf of the Directors.
  • Project Support: Support the execution of special projects and contribute to the planning of high-priority team and company events.
  • AI Integration: Proactively integrate AI tools into the executive office to multiply the Directors’ impact, serving as a champion for innovation.

Qualifications

  • 5+ years of experience in an administrative role.
  • 2+ years of experience providing administrative support to VP-level executives or above.
  • Demonstrable experience of supporting multiple senior leaders.
  • Demonstrable experience in calendar management for senior leadership.
  • Ability to coordinate travel arrangements and prepare related documentation.
  • Experience in planning and coordinating meetings and events.
  • Exceptional communication skills.
  • Understanding of how to navigate a complex, global, matrix organization.
  • Demonstrated experience and proficiency in using generative AI (e.g., ChatGPT, Gemini, Cisco’s Circuit) to enhance administrative output and creative problem-solving.
  • Experience developing and maintaining relationships with key collaborators, including senior leadership.
  • Ability to act as a proxy or advisor for correspondence and approvals.
  • Commitment to the responsible and secure use of AI tools in alignment with corporate data privacy policies, maintaining strict confidentiality of executive and company information.
  • Ability to critically evaluate AI-generated content for accuracy, tone, and alignment with the directors voice and Cisco's brand standards.
  • Experience coordinating speaking engagements and preparing executives for events.
  • A passionate learner who is eager to stay updated on new technologies, industry trends, and ways to improve administrative efficiency.
