With around 800 employees across the UK, Ireland, Germany, the Nordics, Australia, Canada and the Philippines, we're continuing to grow at pace, and we're looking for an experienced Executive Assistant to join us on a 4-month fixed-term contract.
This is an exciting opportunity to work closely with our Chief Financial Officer (CFO) and Chief Technology Officer (CTO), while also providing support across our wider Executive Leadership Team. What you'll be doing
As Executive Assistant, you'll play a pivotal role in helping our leaders operate effectively and efficiently. You'll be a trusted partner, ensuring priorities are managed, schedules run smoothly, and key initiatives stay on track.
Your responsibilities will include:
- Providing high-level administrative support to the Executive Leadership Team
- Managing and optimising busy executive calendars, ensuring time is spent on the highest-value activities
- Coordinating meetings, preparing agendas and supporting logistics for both in-person and virtual sessions
- Planning and delivering company events, including quarterly business meetings, social events and international gatherings
- Arranging domestic and international travel, accommodation and itineraries
- Managing expense submissions and related administration
- Drafting correspondence and communications on behalf of senior leaders
- Preparing presentations, reports, organisational charts and other business documentation
- Anticipating challenges before they arise and proactively resolving issues
- Managing competing priorities and handling confidential information with discretion and professionalism
- Building strong relationships across the business and supporting initiatives that help make Totalmobile a great place to work

What we're looking for
We're looking for someone confident working with senior stakeholders, highly organised and able to navigate a dynamic environment with ease.
You'll bring:
- Proven experience supporting senior executives, ideally at C-Suite level
- Outstanding organisational and prioritisation skills
- A proactive approach with the ability to anticipate needs and think ahead
- Excellent communication and interpersonal skills
- Strong attention to detail and a high level of professionalism
- Advanced Microsoft Office skills, including Word, Excel and PowerPoint
- Strong technical aptitude and confidence working with a range of business systems
- Experience managing complex calendars, travel arrangements and events
- The ability to handle sensitive and confidential information with absolute discretion
