About the Role
ETAC is seeking a highly organized and proactive Executive Assistant to support the CFO with daily administrative, business, and operational responsibilities.
The successful candidate will help manage schedules, coordinate communications, organize documents, and assist with special projects while maintaining professionalism and confidentiality.
Key Responsibilities
- Manage the CFO’s calendar, appointments, meetings, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare, proofread, and organize business documents, reports, presentations, and meeting materials.
- Coordinate meetings with customers, suppliers, business partners, and internal departments.
- Take meeting notes and follow up on action items as required.
- Maintain organized electronic and physical filing systems.
- Provide administrative support related to banking, payroll (ADP), and factory cost documentation as required by the CFO.
- Coordinate with internal departments and external parties to gather information and documentation required by the CFO.
- Assist with quotations, proposals, contracts, and other business documentation.
- Coordinate with internal departments to ensure projects, requests, and assigned tasks remain on schedule.
- Track outstanding items and provide reminders on important deadlines and follow-ups.
- Assist with event planning, customer and supplier visits, and company meetings.
- Conduct research and gather information to support business development and strategic initiatives.
- Handle confidential and sensitive business and financial information with discretion.
- Provide general administrative and operational support to the CFO and perform other duties as assigned.

Qualifications
- Minimum 3 years of experience as an Executive Assistant, Administrative Assistant, or in a similar administrative support role.
- Post-secondary education in Business Administration, Office Administration, Accounting, Finance, or a related field is preferred.
- Excellent written and verbal communication skills in English.
- Strong organizational, time management, and multitasking skills.
- Proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
- Experience handling financial, banking, payroll, or cost-related documentation is considered an asset.
- Professional, detail-oriented, and able to handle confidential information with discretion.
- Experience working in engineering, manufacturing, or industrial industries is considered an asset.
- Education or experience in law, legal administration, or as a paralegal is considered an asset but is not required.
- Mandarin language skills are considered an asset but are not required.

Position Details
- Type: Full-time, Permanent
- Salary: Starting at $26.00 per hour, depending on experience.

- 8 hour shift
- Monday to Friday
Work Location
- On site in Winnipeg, MB, R2J 4G7
- Frequent travel is required to support the CFO
