Executive Assistant to CFO, Operations Director & Sales Director

Location: North Bristol – Office-based

Salary: Competitive, dependent on experience

Working hours: Monday–Friday, 8:00am–5:00pm

Employment type: Permanent, full-time

Position Overview

We are looking for an experienced Executive Assistant to support our Chief Financial Officer, Operations Director and Sales Director, reporting directly to the Executive Business Partner to the CEO.

This is a key role within LivGreen’s executive support structure and will suit someone who is highly organised, commercially aware and comfortable working at pace with multiple senior stakeholders.

The role goes considerably further than traditional diary management. You will be responsible for helping three senior leaders manage their time, priorities, meetings, actions and key commitments, ensuring they are prepared, informed and able to focus on the areas of the business that require their attention.

You will need to understand what is important, what can wait and what needs escalating. You will be expected to anticipate requirements, challenge diaries where necessary, chase information and actions, and make sure commitments made in meetings are followed through.

Working closely with the Executive Business Partner to the CEO, you will help create a joined-up and effective executive support function across the senior leadership team. You will provide visibility of key priorities, pressures and deadlines relating to the CFO and Directors and ensure that information and actions flow effectively between them and the wider business.

Key Responsibilities

Executive & Diary Management

  • Take ownership of complex and frequently changing diaries for the CFO, Operations Director and Sales Director.
  • Understand the priorities behind the diary rather than simply accepting and scheduling meeting requests.
  • Identify conflicts, protect appropriate focus time and ensure senior leaders are spending their time in the right areas.
  • Ensure executives are fully prepared for meetings, with relevant papers, information and context available beforehand.
  • Coordinate travel, accommodation and business-related logistics where required.
  • Manage expenses and other executive administration accurately and efficiently.

Meetings, Actions & Follow-through

  • Coordinate key meetings for the CFO and Directors, including agendas, papers and supporting information.
  • Attend meetings where required to capture decisions, actions, owners and deadlines.
  • Maintain clear action trackers and actively follow up outstanding actions.
  • Chase information and updates from colleagues at all levels of the organisation, including senior management.
  • Ensure actions do not simply disappear between meetings and flag overdue or business-critical items appropriately.
  • Support preparation for management meetings, business reviews, departmental meetings and other key leadership forums.

Executive Coordination

  • Act as a central point of coordination between the CFO, Operations Director, Sales Director and their respective teams.
  • Maintain oversight of key deadlines, commitments and priorities across the three functions.
  • Identify where priorities overlap or potentially conflict and raise these with the Executive Business Partner where appropriate.
  • Support the coordination of cross-functional projects and initiatives involving Finance, Operations and Sales.
  • Help ensure decisions and information are communicated to the right people and followed through.

Communication & Stakeholder Management

  • Build strong and trusted relationships across LivGreen, becoming a reliable point of contact for the executives supported.
  • Liaise confidently with employees, senior managers, clients and external stakeholders.
  • Draft and prepare correspondence, presentations, reports and internal communications where required.
  • Handle confidential, commercially sensitive and people-related information with complete discretion.
  • Use judgement when dealing with requests for executives' time and know when an issue requires escalation.

Working with the Executive Business Partner to the CEO

  • Report directly to and work closely with the Executive Business Partner to the CEO.
  • Provide regular visibility of key commitments, actions, diary pressures and emerging issues relating to the CFO and Directors.
  • Work within agreed executive support processes and standards across the senior leadership team.
  • Support the Executive Business Partner in improving the effectiveness and consistency of executive support across LivGreen.
  • Provide appropriate cover across the executive support function when required.
  • Escalate conflicting priorities, sensitive matters and significant business issues appropriately.

What We’re Looking For

We are looking for someone who doesn't need to be told every next step.

You will be comfortable working with senior people, asking questions, chasing actions and respectfully pushing back when necessary. You will understand that supporting an executive effectively sometimes means protecting their time, reminding them of commitments and making sure things get done.

You will need:

  • Proven experience as an Executive Assistant supporting senior executives or Directors.
  • Experience supporting more than one senior leader simultaneously.
  • Excellent organisation and prioritisation skills.
  • Confidence managing complex and changing diaries.
  • Strong written and verbal communication skills.
  • Excellent judgement and discretion.
  • The confidence to deal with colleagues at every level of an organisation.
  • Strong attention to detail without losing sight of the bigger picture.
  • The ability to work independently while also operating as part of a wider executive support structure.
  • A proactive, solutions-focused approach.
  • Strong Microsoft Outlook, Teams, Word, Excel and PowerPoint skills.
  • Experience of action tracking, meeting coordination and supporting senior leadership meetings.

Success in this role means the CFO and Directors don't have to chase you to find out what is happening.

Their diaries are under control. They know where they need to be and why. They arrive at meetings prepared. Actions are captured and followed through. Deadlines aren't missed because somebody forgot to chase them.

You know what is happening across the areas you support, you recognise when something doesn't look right and you know when to deal with it yourself and when to escalate it.

The Executive Business Partner has clear visibility of priorities and pressures across the senior leadership team, and together you provide an organised, professional and effective executive support function for the business.
