Executive Business Manager to the Chief Medical Officer

About the Role

At Open Medical, we have one driving mission: Smarter, Faster Care. We are the experts behind Pathpoint, the award-winning platform synchronising clinical workflows and transforming patient outcomes globally.

We are looking for an Executive Business Manager to support our Chief Medical Officer, who also holds the Chief Commercial Officer remit. This is the role that keeps one of the busiest people in the business moving at full speed — owning their time, preparing them properly for every meeting that matters, and making sure nothing agreed in a room is ever quietly dropped.

It is not a diary-only job, and it is not a strategy job. Your remit is everything that does not specifically need the CMO to do it, and you will be trusted to work out which is which. We would far rather you made the call and told us afterwards than waited to be asked. As that judgment proves itself, so does the scope of what you run on your own.

Our Environment

Our team is full-time in-office, as we believe this is how we collaborate, problem-solve, and develop ourselves best. Based at our HQ in Ealing Broadway, West London, we are a small, fast-moving team of around 35 and growing! This means you will have real ownership, visible impact, and a central role in supporting our leadership right from the start.

What you will be doing

  • Time & Access Management: Own a complex diary spanning policy, commercial and international commitments, protecting focus time and resolving clashes before they reach the CMO. Manage the inbox as a trusted gatekeeper — triaging what needs a decision, what you can answer directly on their behalf, and what can wait.
  • Meeting Preparation & Briefing: Build agendas and pre-reads ahead of high-stakes meetings, pulling together the background, research, technical context and documents needed to walk in prepared. Attend where it helps, capture the decisions and actions, and circulate clear follow-ups promptly.
  • Follow-Through & Deliverable Tracking: Hold a live picture of commitments made across policy, commercial and international workstreams. Chase owners, surface slipping deadlines early, and flag a problem before it becomes one.
  • Correspondence, Documents & Presentations: Draft and format correspondence, executive summaries, presentations and meeting packs that maintain consistency with Open Medical’s strategic messaging and brand voice. Keep documents organised, current and easy to find.
  • Travel, Events & Logistics: Arrange national and international travel, visas, itineraries and expenses end to end. Coordinate offsites, leadership meetings, partner visits and conference attendance.
  • Stakeholder Coordination: Act as a reliable first point of contact for government officials, NHS / healthcare partners, institutional stakeholders, commercial clients and international collaborators — scheduling, following up, keeping relationships warm, and routing substantive matters quickly to the right person.

What We are Looking For

Background and Experience

  • Executive Support Experience: Several years supporting senior leaders — C-suite, board, partner or director level — in a fast-paced organisation, with proven ownership of complex diary and inbox management.
  • Written Communication: Strong written English, with demonstrable experience preparing briefing materials, meeting papers, board packs or executive correspondence that needs very little editing.
  • Coordination & Organisation: Hands-on experience coordinating travel, meetings, events and competing priorities across multiple workstreams, with a track record of closing loops without being chased.
  • Sector Familiarity (desirable): Experience in healthcare, the NHS, life sciences or health technology. A background as an NHS trust board secretary, governance officer, or within an NHS executive office is particularly welcome, as is scaleup experience.
  • Education & Track Record: Educated to degree level, or holding an equivalent professional qualification such as chartered governance (CGI/ICSA), or able to demonstrate equivalent written and analytical capability through experience. No specific subject, MBA or consulting background is required — we give full weight to a strong record of real-world operational reliability and sound judgment.

  • Adaptive Communication: Adjusts tone naturally across clinical, commercial, legal and international audiences, and distils detailed material into something that can be read in two minutes.
  • Composure Under Pressure: Priorities here shift, sometimes twice in a morning. You reorder the day without losing the thread or the detail.
  • Ownership of Detail: If it is on your list, it is handled. Nothing falls through the gaps between people.

How the Role Grows

We are hiring this deliberately as a way into Open Medical’s executive office rather than a fixed job description. Where judgment and delivery are proven, we hand over more — independent ownership of projects, representing the CMO in internal meetings, and a wider remit across the leadership team.

Some people will want to stay and become exceptional at this role, which is a genuinely valuable thing to be. Others will want to grow towards a chief of staff position. We are open to both, and we will be straight with you about which looks likely.
