As the business continues to develop, we are looking for an exceptional Executive Business Support Manager to provide high-level executive, business and project support across a portfolio of companies.
The Role
The Executive Business Support Manager will work closely with our Operations Director and will play a pivotal role in ensuring the smooth functioning of the office, managing administrative tasks, and supporting the Director and CEO in their day-to-day activities. The job holder will be used to working in a fast-paced environment and managing multiple tasks whilst maintaining effective and proactive communication with internal and external clients and coordinating any in person meetings in a professional manner.
Key Responsibilities
As an Executive Business Support Manager, you will have responsibilities to our teams and employees, alongside the wider business and stakeholders.
- Efficiently manage the Company’s social calendar, schedule training, coordinate 1:1 reviews, team meetings and boardroom bookings in a professional manner.
- Support and engage with teams across the business, fostering a collaborative and productive work environment.
- Provide comprehensive administrative and project support to the Operations Director, including document preparation, report generation as well as ad-hoc project tasks.
- Assist with recruitment and training initiatives to build and maintain a capable workforce.
- Review and follow company procedures and policies related to employee management, providing support and assistance in performance appraisals.
- Assist in day-to-day operations through proactive involvement in business-as-usual operations including but not limited to compliance, supplier management, onboarding assistance, record and documentation management, process improvements, standard operating procedure development, manage recurring operational requirements and deadlines.
- Develop and maintain strong working relationships with internal and external stakeholders.
- Ensuring cost-effectiveness in all business transactions.
- Take responsibility for budgeting, expense monitoring, forecasting, and day-to-day operational transactions – supporting the finance team.
- Prepare weekly and monthly reports for senior management, conducting audits, and identifying trends.
- Ensure regulatory compliance with workplace rules, regulations, and health and safety standards.
- Carry out other tasks as requested by the CEO, Operations Director, or Senior Leadership Team to meet business goals.

Skills & Experience
The successful candidate should have:
- Minimum of A levels or equivalent
- Proven experience as an Executive Assistant or in a similar office administrative support role
- Demonstrable experience with financial responsibilities and familiarity with Xero software
- Excellent communication skills, both written and verbal
- Meticulous attention to detail to ensure accuracy and precision in all tasks.
- Strong time management skills, capable of handling multiple tasks, adapt to changes effectively, and prioritise effectively
- Exceptional relationship-building skills to foster positive interactions with colleagues and clients
- Customer focused mindset, dedicated to providing outstanding support and service
- High sense of confidentiality and integrity
- Tech-savvy with good understanding of digital tools and software relevant to administrative tasks, including Microsoft 365 and Google Drive software packages.

Desirable Experience
- Bachelor’s or Master’s Degree or specialised certification in Business Administration, Marketing, or related areas.
- Proven experience in small business finances, with an understanding of basic finance administration, including invoicing, expenses and reconciliations
- Experience with project coordination or management
- Willingness to learn and commitment to continuous professional development

- The confidence and judgement to work autonomously and make appropriate decisions without continual supervision.
- A proactive approach, anticipating requirements rather than waiting to be instructed.
- Strong follow-through and the persistence required to ensure actions are completed.
