As Executive Coordinator and Marketing Assistant, you will keep the UK Rare Disease business unit organised, compliant and moving forward. Splitting your time equally across two connected roles, you will support the Rare Disease Vice President with planning, priorities and events, and help the Rare Blood Disorders team deliver brand projects, approved materials and meetings. Your work gives colleagues the time and clarity to focus on supporting healthcare professionals and the people living with rare blood disorders they care for.

What you’ll bring

You are organised, dependable and at your best when you are keeping several priorities moving at once. You will bring:

  • A proven track record of working successfully in a cross-functional environment with multiple stakeholders.
  • Good data management skills, with the ability to interpret data, create reports and present information in a simple, clear way.
  • Proficiency in Microsoft Office (Word, Excel and PowerPoint) and Windows.
  • Experience coordinating and arranging events, including managing logistics and external vendors.
  • The ability to manage multiple tasks and prioritise them effectively.
  • Good interpersonal skills and the ability to build strong relationships with internal stakeholders, external suppliers and team members, helping create a positive, collaborative working environment.
  • Degree in a science or business-related subject.
  • Fluency in written and spoken English.

Useful, But Not Essential

  • A formal administrative qualification.
  • ABPI qualification.
  • Experience working with Veeva PromoMats.
  • Experience in a marketing environment.
  • Experience in a senior or executive coordinator or administrative role.
  • Experience in the pharmaceutical industry or a large corporate organisation.

What you’ll do

Your role is split 50/50. As Executive Coordinator, you will help the Rare Disease leadership team plan and deliver with focus. As Marketing Assistant, you will help the Rare Blood Disorders commercial team get compliant, up-to-date materials and events to the right people at the right time.

  • Plan and organise the Rare Disease Vice President’s time, priority focus areas, travel and events, and support the execution of activities defined by Rare Disease management.
  • Provide administrative support to the Rare Disease department and support quality and compliance, including adherence to internal SOPs, ISOtrain reporting and audit preparation.
  • Deliver targeted project support to the Head of Rare Bleeding Disorders, the Market Access Manager and the wider commercial team, including setting up budget trackers and raising purchase orders.
  • Act as PromoMats super user and Withdrawal Coordinator: create and archive job bags, manage re-approvals, withdrawals and prescribing information updates, adapt global materials for UK use, review Rare Blood Disorders pages on novonordisk.co.uk and attend the Promotional Review Board when required.
  • Keep materials available for the field team by monitoring inventory reports, flagging low stock and usage by Key Account Managers, arranging reprints and quotes, and booking in new stock in line with internal policies.
  • Coordinate meetings, exhibitions and congresses – from stand bookings and agency contact to meeting approvals, transfer of value reporting and contract processing through DocuSign.

You will join the Rare Disease business unit in Novo Nordisk UK, part of International Operations, where colleagues work across markets to serve people around the world and help improve health at scale.

You will work closely with the Rare Disease Vice President and Rare Disease management, and with the Head of Rare Bleeding Disorders, the Market Access Manager and the Rare Blood Disorders commercial team, including Key Account Managers. You will also partner with compliance and review colleagues, external agencies, printers and suppliers, and support events and congresses beyond Rare Disease when needed.

Being the person who connects these colleagues and partners, you help decisions turn into action quickly – and keep things moving with clarity when priorities compete.
