ABOUT THE ROLE

We’re looking for a highly organised, proactive and dependable candidate to support senior leaders in the day-to-day running of property and project workflows.

This is a hands-on role for someone who enjoys making things happen. You’ll organise, follow up, coordinate projects and suppliers, keep track of costs and deadlines, and make sure nothing falls through the cracks.

Alongside traditional administrative responsibilities, you’ll gain exposure to property sales, lettings and refurbishments, working directly with senior stakeholders, contractors, suppliers and other external partners.

What you’ll be doing:

  • Providing day to day administrative support
  • Maintaining accurate Excel trackers, records and documentation
  • Managing meetings, appointments and ad hoc requests as required
  • Assisting with the sales, lettings, and refurbishment of properties
  • Acting as a key point of contact between site managers, builders, and suppliers to ensure timely project delivery
  • Tracking invoices, managing budgets, and ensuring accurate payments
  • Handling tenant issues professionally and promptly
  • Keeping senior leaders updated on progress, outstanding actions and potential issues
  • Taking ownership of a wide variety of ad hoc administrative and operational tasks

What we’re looking for:

  • 2–3 years’ experience in an administrative, executive support or coordination role
  • Bachelor’s degree or equivalent experience
  • Confident using Excel and excellent working with numbers, invoices and budgets
  • Highly organised, with exceptional attention to detail
  • Able to manage multiple priorities and follow tasks through to completion
  • A proactive, self-starting attitude, you’re someone who takes initiative and gets things done
  • Comfortable dealing with senior stakeholders, contractors, suppliers and external partners
  • Strong written and verbal communication skills
  • Practical, dependable and comfortable working in a fast-moving environment
  • Portuguese language skills would be advantageous but are not essential
