Description
We are looking for a dedicated Executive Personal Assistant to provide high-quality support to our senior leadership within DAC Beachcroft CSG.
If you are currently working in a Personal Assistant or Executive Assistant role and are looking to further progress your career, then this could be the perfect opportunity for you.
This role offers remote working; however, attendance at a core office will be required during the probationary period and for team training days. As such, the successful candidate will need to be located within a reasonable commuting distance of either our Birmingham or Newport office.
What you will do?
Provide dedicated support to individuals at a senior level. Key responsibilities include:
- Providing a full personal organisational service to key individuals alongside ad-hoc requests from other Senior Management as required.
- Managing complex and busy diaries for key individuals.
- Managing and booking travel arrangements, including international travel where appropriate.
- Monitoring urgent emails/inboxes and management of the same.
- Screening telephone calls and emails and handling where appropriate.
- Managing and booking client meetings and events, ensuring the individual is well-prepared e.g. ensuring meeting documentation, itinerary/timetable etc. is prepared.
- Producing documents, briefing papers, reports and presentations (using PowerPoint where appropriate) alongside some digital dictation (where applicable).
- Assisting with ad-hoc business development and communications activities to include but not limited to producing branded presentations and team sheets in PowerPoint, mail merges in Word, spreadsheets in Excel, client contact reports, printing and collating delegate packs and possible meeting and greeting of delegates.
- An understanding of financial administration e.g. understand financial cycle of bills appropriate to external client, to keep accurate financial data when using the case management system and maintain bills in a logical and organised manner (where appropriate).
- Ensuring client contact information is kept up to date and data is accurate.
- Managing expenses/company credit card and liaising with Accounts as appropriate.
- Assisting the team to work electronically and maintain a paperless environment.
- Working knowledge of our computer systems and packages e.g. Word, Excel and PowerPoint and bespoke DAC Beachcroft packages.
- Supporting on cost-saving initiatives such as cheaper travel options and encouraging team members to consider all travel options such as split tickets.
- Handle confidential information in line with the firms data security protocols.

Who you are
Previous Executive Assistant experience within a professional services environment is essential. You will have:
- Minimum of 5 GCSEs (including a grade C in English and Maths) or equivalent.
- A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential.
- Advanced IT skills, particularly in Microsoft packages.
- Demonstrable ability to multitask and prioritise a full workload under pressure and the ability to work independently.
- Demonstrable experience of organising successful large events.
- An excellent eye for detail with a concern for quality and accuracy.
- Ability to communicate clearly and concisely orally and in writing.
- A client service-focused approach, interacting with clients in a professional manner at all times.
- Excellent planning and organisational skills, with the ability to apply project management skills to ensure delivery.
- Excellent all-round communication skills and the ability to engage effectively with different audiences at all levels.
- Team oriented approach and collaborative with a flexible, can do attitude.
- Ability to take accurate minutes and production of the same.
- Acting as first port of call/acting as representative on behalf of the firm with external clients, utilising a professional and competent telephone manner and assisting with queries where appropriate.
- Ability to work on own initiative and demonstrate pro-activity.
- Effective planning, prioritisation, organisation and time management skills.
