To help us with our journey, we are currently on the lookout for an exceptional Executive Personal Assistant to come onboard and support our brand new Managing Director.

As an organised, proactive and highly professional Executive Assistant you will become the trusted right-hand support to our Managing Director. In this exciting opportunity, you will work at the heart of the organisation, providing first-class executive support whilst building strong relationships with Board Members, senior stakeholders and external partners.

This is far more than diary management. You’ll play a pivotal role in helping shape the effectiveness of our Senior Leadership Team, supporting Board governance, coordinating high-profile meetings and ensuring the organisation runs smoothly behind the scenes. You’ll manage complex priorities, be involved in adhoc project work and anticipate what needs to happen before others do.

As well as providing executive support at the highest level, you’ll have line management responsibility for a Business Support Administrator who will report directly to you. You’ll oversee their day-to-day workload, provide coaching and support, ensure high standards of administrative delivery and continuously develop efficient ways of working to support the wider organisation.

Key Responsibilities Include

  • Providing comprehensive Executive Assistant support to the Managing Director.
  • Managing a complex and ever-changing diary and coordinating meetings.
  • Supporting inbox management, correspondence and key communications.
  • Preparing briefing papers, reports and meeting documentation.
  • Organising travel, events and stakeholder meetings.
  • Leading the administration of Board and Strategic Projects Board meetings.
  • Preparing agendas, Board papers and governance documentation.
  • Taking accurate minutes and monitoring actions through to completion.
  • Building positive relationships with internal and external stakeholders.
  • Supporting corporate projects and organisational initiatives.
  • Working closely with a Business Administrator, providing guidance and oversight to ensure the smooth delivery of day-to-day administrative support.
