Hours

  • Monday to Friday, 8:30am-5:30pm
  • Full time, 40 hours per week, based at Head Office

Role Overview

We are seeking an experienced, highly organised and proactive Executive Personal Assistant to provide comprehensive administrative and personal support to our Managing Director. The successful candidate will play a key role in ensuring the smooth day-to-day running of executive operations, managing schedules, communications, and confidential matters with discretion and efficiency.

Key Responsibilities

  • Provide full administrative support to the Managing Director including diary and calendar management
  • Coordinate meetings, appointments, and travel arrangements (including itineraries and accommodation)
  • Act as the first point of contact, screening calls, emails, and correspondence
  • Prepare reports, presentations, and briefing documents
  • Organise and attend meetings, taking minutes where required
  • Handle confidential information with professionalism and discretion
  • Manage expenses, invoices, and basic financial administration
  • Liaise with internal teams, clients, and external stakeholders
  • Assist with personal tasks for the Managing Director as needed
  • Ensure deadlines and priorities are managed effectively
  • Manage head office hospitality, including internal telephony, reception cover and customer meet and greet

Skills and Qualifications

  • Proven experience as a Personal or Executive Assistant at a senior level
  • Exceptional organisational and time-management skills
  • Strong written and verbal communication abilities, comfortable liaising with PR and professional third parties
  • High level of discretion and confidentiality
  • Experience of organising international travel bookings and itineraries
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask, problem solve and work under pressure
  • Strong attention to detail with a professional and adaptable approach

This role is subject to a three-month probationary period.
