DESCRIPTION & REQUIREMENTS

On behalf of The Pensions Regulator, we are looking for an Executive Personal Assistant (Inside IR35/PAYE) for a 3 months contract based hybrid in Brighton. Office attendance is 6 days in a calendar month.

Role Profile:

To provide high-level support to a Director within The Pensions Regulator (TPR).

This is a fast-paced, highly rewarding role that sits at the heart of the organisation, ensuring the effective and efficient management of Director-level priorities, communications, and day-to-day operations. You will play a key role in enabling senior leadership to focus on strategic objectives while maintaining strong relationships with stakeholders across the organisation and beyond.

The successful candidate will be proactive, highly organised, and confident working with senior leaders, demonstrating discretion and sound judgement when handling sensitive and confidential information.

As an Executive Personal Assistant, our main responsibilities will be to:

  • Manage complex and ever-changing Director diaries, ensuring priorities are effectively coordinated.
  • Act as the first point of contact for internal and external stakeholders.
  • Proactively manage Director inboxes, prioritising correspondence and responding where appropriate.
  • Draft professional communications and responses on behalf of the Director.
  • Arrange and coordinate meetings, workshops, events, and leadership briefings.
  • Prepare agendas, supporting documentation, and meeting packs.
  • Take accurate minutes and track actions to completion.
  • Book travel and accommodation in line with organisational policies and budgets.
  • Coordinate Directorate meetings, away days, and team events.
  • Process administrative activities including expenses, leave requests, gifts and hospitality declarations.
  • Build strong working relationships across the organisation and with external stakeholders.
  • Identify and escalate risks, issues, and barriers that may impact Director effectiveness.
  • Support the wider Executive Assistant community by sharing best practice and providing cover when required.

Essential:

  • Previous experience in an Executive Assistant, Personal Assistant, or senior administrative support role.
  • Experience supporting senior leaders or directors in a complex organisation.
  • Ability to work independently and exercise sound judgement.
  • Experience handling confidential and sensitive information with discretion.
  • Strong stakeholder management and relationship-building skills.
  • Excellent verbal and written communication skills.
  • Experience arranging meetings, events, workshops, and travel logistics.
  • Proficient minute-taking skills.
  • Strong Microsoft Office skills, including Outlook, Word, Excel, Teams, and SharePoint.
  • Understanding of GDPR and handling personal data appropriately.

Desirable:

  • Experience working within the public sector.
  • Knowledge of The Pensions Regulator or government processes and systems.
  • Experience supporting multiple senior stakeholders simultaneously.

Please be aware that this role can only be worked within the UK and not Overseas.
