Role Description

Louzan Group is looking for an experienced and highly dependable Executive Secretary to provide dedicated support to senior leadership. The position requires someone who can manage a wide range of executive and administrative responsibilities with professionalism, discretion, and attention to detail. The successful candidate will act as a key point of coordination, helping senior leadership stay organized, informed, and prepared while ensuring important tasks and commitments are followed through effectively.

The role requires a high level of flexibility, including the ability to work across different locations and schedules. The successful candidate must be willing to travel and spend periods of time between the United Arab Emirates and Manchester, United Kingdom, in line with business requirements.

  • Oversee and coordinate executive schedules, appointments, meetings, and travel plans.
  • Organize daily priorities and ensure meetings and commitments are properly coordinated.
  • Manage correspondence, emails, and communications with a professional and appropriate level of discretion.
  • Draft and prepare reports, presentations, agendas, meeting notes, and other executive documents.
  • Coordinate information and follow-ups between senior leadership, internal departments, and external contacts.
  • Maintain organized records and ensure confidential documents and information are handled securely.
  • Keep track of important deadlines, outstanding matters, and required follow-ups.
  • Provide administrative assistance for projects, business initiatives, and other executive requirements.
  • Support effective communication and coordination across the Group's different locations and operations.
  • Respond efficiently to changing priorities and ad-hoc requests from senior leadership.
  • Anticipate administrative requirements and take proactive action wherever possible.
  • Maintain a consistently professional, discreet, and service-oriented approach when representing senior leadership.

Qualifications

  • Proven experience in an Executive Secretary, Executive Assistant, Personal Assistant, or similar position supporting senior management.
  • Excellent command of written and spoken English.
  • Strong organizational skills with the ability to manage multiple responsibilities and deadlines.
  • Excellent attention to detail and a structured approach to administrative work.
  • Strong written communication and professional interpersonal skills.
  • Good knowledge of Microsoft Office and Google Workspace.
  • Ability to work with confidential and sensitive information with complete discretion.
  • Professional, reliable, proactive, and able to work independently.
  • Comfortable working in a fast-paced environment where priorities may change.
  • Strong coordination skills and the ability to work effectively with people across different departments and locations.
  • Flexible and willing to work different schedules when business requirements call for it.
  • Willingness and ability to travel and work between the UAE and Manchester, UK, as required.
  • Experience within the luxury, fashion, hospitality, lifestyle, or international business sectors is an advantage.
