Executive Secretary Opportunity at PeopleCert

PeopleCert is looking for an Executive Secretary, a highly capable and proactive professional, thriving in a fast-paced executive environment. Acting as the central point of coordination for the CEO's Office, you will engage regularly with senior executives, Board members, employees, clients, partners, and external stakeholders, ensuring seamless communication, effective collaboration, and flawless execution at every level.

In addition to providing high-level executive support, you will play a pivotal role in shaping the day-to-day office experience, taking ownership of the London office environment and ensuring it operates smoothly, efficiently, and to the highest professional standards. You will help create a welcoming, well-organised, and productive workplace that reflects the values and professionalism of our organisation.

Key Responsibilities

  • Provide comprehensive day-to-day administrative and executive support to the CEO.
  • Coordinate internal and external meetings involving senior executives, Board members, partners and other stakeholders.
  • Coordinate meeting logistics and ensure that the CEO has the necessary information and materials in advance.
  • Handle correspondence and communications with a high level of professionalism and discretion.
  • Act as a professional point of contact between the CEO and internal and external stakeholders.
  • Take responsibility for the professional and efficient day-to-day operation of the London office.
  • Ensure that meeting rooms, executive areas, reception and shared spaces are maintained to a consistently high standard.
  • Coordinate with Facilities, IT, Procurement, Security, Cleaning and other service providers.
  • Manage hospitality requirements and other day-to-day office needs.
  • Coordinate visitors and support the organisation of senior-level meetings and executive events.
  • Identify operational issues and ensure they are resolved promptly through the appropriate internal team or external supplier.
  • Monitor the overall employee and visitor experience within the office and proactively identify opportunities for improvement.
  • Support corporate events, Board meetings, executive dinners and other senior-level activities taking place in the UK.
  • Maintain close communication with PeopleCert's Athens headquarters and relevant Group functions.
  • Coordinate effectively with the CEO Office, Facilities, Procurement, Events & Travel and other teams in Greece.
  • Ensure smooth communication and execution of requirements between the UK and Greece.
  • Support visiting executives and colleagues travelling between Greece and the UK

What We Look For

  • Bachelor's degree or equivalent professional experience.
  • Previous experience as an Executive Assistant, Executive Secretary, Personal Assistant or similar role supporting a CEO, Chairman or senior executive.
  • Office-management experience would be highly desirable.
  • Excellent command of Greek and English, both written and spoken.
  • Flexibility and adaptability to manage a range of different tasks.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Strong knowledge of Microsoft Office, Outlook, Teams, PowerPoint and ΑΙ tools.

Working on Home Office (HO) Secure English Language Tests (SELTs)

Any person who is engaged by PeopleCert to work on the SELT service must undergo a Background Check (the results of which must be acceptable to PeopleCert and the HO) prior to commencing their SELT duties. All SELT personnel will be required to complete a declaration (provided by PeopleCert) where the existence of any criminal record and/or bankruptcy must be declared.

If working on the SELT service in the UK, background checks will include:

  • A basic or enhanced Disclosure Barring Service (DBS) check
  • Right to Work in the UK check (including nationality, identity and place of residence)
  • HO security check (Baseline Personnel Security Standard (BPSS) or Counter Terrorist Check (CTC)
  • Financial background check
  • Employment reference check.

If working on the SELT service anywhere in the world (outside of the UK) personnel will undergo background checks that are equivalent to those stated for the UK.

In addition, if personnel are required to speak to SELT candidates they must be appropriately skilled in English language and, where SELT services are provided anywhere in the world (outside of the UK), the official language of the relevant country.
