Expenses Administrator

We’re looking for an Expenses Administrator to join our Payroll team at our Head Office in Salford.

This is a hands-on role within our Expenses team, responsible for checking, processing and resolving contractor expenses as part of our weekly and monthly payroll deadlines. It’s a role where accuracy, attention to detail and a good head for numbers are really important, alongside being confident enough to speak to people when something doesn’t quite add up.

You’ll be working with a high volume of expenses, checking information and supporting documentation, identifying discrepancies and following up with contractors and clients where required. There is a significant amount of manual processing involved, including checking paperwork, printing and filing documentation and entering information onto our systems, so we’re looking for someone who is happy working in a detailed, process-driven environment.

What will you be doing?

  • Checking and processing contractor expense claims accurately and within agreed deadlines
  • Reviewing expenses and supporting documentation, identifying discrepancies and investigating where required
  • Raising queries with contractors and clients and following these through to resolution
  • Calculating and processing expense payments, advances and adjustments
  • Manually entering and maintaining accurate information on our systems
  • Completing regular checking, auditing and administrative tasks, including printing and processing paperwork
  • Responding to queries through our internal queues and acting as a point of contact for expenses-related queries
  • Working to individual and team KPIs and weekly/monthly payroll deadlines
  • Completing regular tasks set by the Team Manager
  • Supporting the wider team through knowledge sharing, cross-training and process improvements
  • Maintaining a high level of confidentiality and awareness of GDPR requirements

What are we looking for?

We’re not necessarily looking for someone with years of experience. More importantly, you’ll be someone who:

  • Is comfortable working with numbers and enjoys getting things right
  • Has excellent attention to detail and accuracy
  • Is organised and able to manage a workload to tight deadlines
  • Is confident speaking to people and following up when information is missing or something needs clarifying
  • Is naturally curious and enjoys getting to the bottom of discrepancies or problems
  • Is happy working in a process-driven, administrative role with a good amount of manual checking and data entry
  • Has a good work ethic and takes responsibility for their own workload
  • Is a supportive team player who is happy to share information and help others
  • Has experience in expenses, payroll, finance administration or a similar environment – desirable but not essential
  • Has some understanding of expenses rules, legislation or compliance – useful but not essential
