We’re hiring: Experienced Financial Planning Administrator

Celtic Financial Planning is looking for an experienced Financial Planning Administrator to join our team in Mold, North Wales.

This is not an entry-level position. We are looking for someone who already understands the financial advice process and can confidently manage new business from application through to completion.

The role

You will provide administrative support to our financial advisers and paraplanners, helping to ensure that client recommendations are implemented accurately, efficiently, and within agreed timescales.

Your responsibilities will include:

  • Preparing and processing pension, investment, and protection applications
  • Submitting new business through provider and investment platform systems
  • Managing pension transfers, investment applications, and drawdown cases
  • Processing crystallisations, pension income requests, and tax-free cash payments
  • Requesting valuations, policy information, and transfer documentation
  • Chasing providers and platforms to keep cases progressing
  • Monitoring outstanding requirements and resolving application queries
  • Liaising with clients, advisers, paraplanners, providers, and third parties
  • Maintaining accurate client records and workflow updates
  • Ensuring documentation is complete and compliant before submission
  • Supporting the delivery of a professional and responsive client experience

About you

You will have previous experience working as an administrator within a financial planning, wealth management, or independent financial advice firm.

You should have:

  • Practical experience of processing pensions and investments
  • Experience using investment platforms and provider portals
  • A good working knowledge of pension drawdown and retirement applications
  • The ability to manage several cases and priorities at the same time
  • Strong attention to detail and a thorough approach to record keeping
  • Confidence when dealing with providers and resolving delays or discrepancies
  • Clear and professional written and verbal communication skills
  • An understanding of the importance of regulatory requirements, Consumer Duty, and good client outcomes
  • The ability to take ownership of cases rather than waiting to be chased
