Experienced Office Administrator
Nottingham | Full-time or part-time | On-site | £28,000–£30,000 FTE plus bonus and benefits
Promethean Particles is looking for an experienced Office Administrator to keep our Nottingham office and essential administrative processes organised, accurate, and running smoothly.
The position can be full-time or part-time - for example, approximately five hours a day, five days a week. In either case, the role will be based on-site in Nottingham.
This is a hands-on role for someone who already knows how to operate effectively in a professional office environment. You will be equally comfortable producing Board minutes and professional documents, organising company records, ordering lunch for a meeting, or dealing with something practical that needs attention around the office.
You won’t need to know our business from day one, but you should already have the practical skills and judgement to take ownership of the role without needing to be taught the fundamentals of office administration.
What you’ll be doing
- Preparing, formatting, proofreading, and managing professional documents.
- Taking accurate minutes at Board and leadership meetings and tracking agreed actions.
- Organising shared folders, templates, company records, and other business information.
- Using Word, Excel, and Outlook for everyday administration and document management.
- Providing administrative support to the CEO and wider leadership team.
- Coordinating meetings, diaries, travel, visitors, and company events.
- Arranging refreshments, lunches, and practical requirements for meetings and visitors.
- Managing incoming calls, post, deliveries, and office supplies.
- Liaising with suppliers and facilities providers.
- Helping to keep the office and reception presentable, including dealing personally with small tasks when needed.
- Tidying up existing information and identifying practical ways to improve administrative processes.

What we’re looking for
You will need:
- Previous experience in an Office Administrator, Business Support, Team Assistant, Executive Assistant, or comparable role.
- The confidence to take ownership of day-to-day office administration with limited supervision.
- Practical experience of taking clear, accurate meeting minutes.
- Strong Word skills, including formatting and tidying professional documents.
- The ability to use Excel accurately for straightforward administrative tasks and record keeping.
- Experience organising electronic documents, folders, and records.
- Excellent attention to detail, including spelling, grammar, formatting, and data accuracy.
- Strong organisational skills and the ability to manage several priorities.
- A practical, helpful attitude and a willingness to deal with whatever needs doing to keep the office running well.
- A friendly, professional, and dependable approach.
- Full and unrestricted authorisation to work in the UK.
- Experience supporting senior leaders would be useful, but isn’t essential.
