ROLE DEFINITION
Compliant control & effective coordination of groupage exports operating through a third-party service provider currently based in Oswestry.
Including:
- Booking vehicles with nominated carrier
- Consolidation administration
- Physical receipt checking
- Load plan creation
- Despatch of orders & monitoring orders through to final delivery
The role coordinates documentation, physical product movements, post-movement reporting, function statistics & operation cost internal recharging.
TRAINING
Full, comprehensive training will be provided against an established SOP
KEY RESPONSIBILITIES
- Receive and consolidate site orders and commercial load manifests into a timely provisional load plans
- Book approved carriers and monitor goods arrival, on-site control & despatch through to customer delivery.
- Receive physical goods and check them against pre-advice, order details and the required supporting documentation. Trailer prechecks, temp setting & sealing all within tried & tested standard operating practices
- Raise and record non-conformances for period-end reporting and coordinate corrective action with relevant stakeholders.
- Resolve barriers to onward transit, including complete site data set validation. Where required chasing & adjusting missing or incorrect paperwork, replacement documentation.
- Issue the haulier with a complete, process-approved document pack to support successful delivery. Ensuring loads go out on time to meet delivery
- Timely portal Health Certificate ordering, booking & facilitation of nominated VET.
- Accurate UK export and EU import agent documentation & processing of associated documentation. Checking successful crossing of vehicles through sanitary inspection & customs. Corrective action as required to ensure goods delivered
- Instructing loading team re pallet presentation, rebuilding & loading against best plan. Coordinate safe and secure loading by the third-party provider and ensure trailers are sealed using the veterinarian-approved seal.
- Produce operational reports and costings, complete central invoice checks, and allocate or recharge costs to the appropriate sites.
- Support conformity and compliance activities when required as a secondary responsibility to the role's primary objectives.

PERSONAL SPECIFICATION

- Experience in FMCG transport and administration, ideally international transport and processes
- Confident Excel user able to produce accurate reports and data sheets & some Microsoft word/ PowerPoint ability
- Practical experience of export/import declarations, documentation and controls
- Strong interpersonal, negotiation, influencing and relationship-building skills
- At least two years experience within chilled-chain distribution
- Tenacity, resilience, attention to detail and ownership of process through to conclusion
Although the above is preferable, candidates will largely be assessed based on perceived ability.
