We’re looking for a highly organised and detail-oriented export and import sales administrator to join our internal export sales team. This role plays a vital part in supporting international sales operations by managing export and import administration, coordinating logistics, preparing shipping documentation, and ensuring compliance with international trade regulations.

Working closely with customers, freight partners, and internal departments, you will help ensure orders are processed accurately, shipments are delivered on time, and all import and export activities meet regulatory requirements.

The role:

Working within the supply chain department, your role will be based with the export and import sales team at one of our unique Sheffield sites. This busy team is generally the first point of contact for several export customers, but also you will also work closely with a variety of departments across the business.

What you'll be doing:

  • Processing international sales orders from order entry through to despatch and invoicing
  • Preparing, managing, and maintaining export and import documentation to support compliant international trade
  • Coordinating freight forwarder bookings and courier shipments
  • Producing shipping documentation including export certificates, certificates of origin, and certificates of conformity
  • Managing customs-related processes, including tariff/commodity codes, CPC codes, CDS authorisations, and proof of import documentation
  • Arranging and administering marine insurance for export shipments
  • Maintaining customer accounts, pricing information, lead times, and related ERP system data
  • Processing quotations, proforma invoices, credit notes, returns, and customer account updates
  • Managing intercompany order processes across multiple regions
  • Obtaining freight quotations, monitoring transit times, and maintaining freight cost reporting
  • Supporting month-end activities by preparing and reviewing sales and export transaction data
  • Monitoring and reporting on key performance indicators to support operational performance
  • Maintaining accurate job file records and ensuring all documentation is complete and up to date
  • Staying informed on changes to international trade regulations and export compliance requirements

Who you are:

We're looking for someone who combines excellent administration skills with a strong understanding of international trade and customer service.

Knowledge and experience:

  • Experience in an export, import, logistics, sales administration, or international trade role
  • Strong understanding of import and export procedures and documentation
  • Knowledge of customs compliance, tariff/commodity codes, Incoterms, and international shipping requirements
  • Experience working with ERP systems and maintaining accurate customer and order data
  • Understanding of duties, VAT, brokerage charges, and customs processes
  • Experience liaising with freight forwarders, couriers, customs agents, or logistics providers
  • Confident using Microsoft Office, particularly Excel, for reporting and administration
  • Experience producing reports, monitoring KPIs, and supporting operational processes
  • Knowledge and/or practical experience of Microsoft Dynamics 365 Finance and Operations would be a distinct advantage.
