What You'll Be Doing

As External Hire Desk Supervisor, you will be responsible for the day-to-day leadership, coordination, and performance of the Fleet Hire Desk team, ensuring operational targets are achieved while delivering a high standard of customer service to internal customers and supply chain partners. You will oversee all hire desk activities, support team development, resolve escalated issues, and drive process compliance across fleet hire operations.

Working closely with the Hire Desk Manager, you will play a key role in maximising fleet utilisation, controlling costs, maintaining system accuracy, and ensuring service level agreements are achieved across both internal and external hire activity.

Key Responsibilities

  • Supervise and coordinate the daily activities of the Fleet Hire Desk team, ensuring workloads are managed effectively and operational targets are achieved.
  • Provide leadership, coaching, and support to team members, identifying development opportunities and ensuring processes are consistently followed.
  • Manage attendance, holidays, performance reviews, appraisals, and day-to-day people management responsibilities.
  • Oversee the Freshdesk ticketing system, ensuring enquiries and hire requests are processed accurately and within agreed timescales.
  • Resolve customer, supplier, invoice, and damage disputes, escalating complex issues where required.
  • Monitor live hire reports and supplier portals to ensure hire management systems remain accurate and up to date.
  • Ensure all hire agreements, purchase orders, and associated documentation are completed accurately and comply with company procedures.
  • Maintain accurate account reconciliations and ensure supplier reporting aligns with internal systems and records.
  • Liaise with suppliers and account managers to manage service performance and ensure agreed SLA requirements are met.
  • Support audits, compliance checks, and operational reviews to ensure fleet assets and records remain accurate and compliant.
  • Assist management with recruitment, training, one-to-ones, and continuous improvement initiatives.

What You'll Bring

  • Previous experience within the Fleet or Vehicle Hire industry in a supervisory or team leader capacity.
  • Strong leadership skills with the ability to motivate, coach, and develop a high-performing team.
  • Proven experience managing customer and supplier relationships while resolving operational issues effectively.
  • Good understanding of fleet hire processes, supplier management, and utilisation control.
  • Experience using hire management systems such as InspHire, Key2, or similar platforms.
  • Excellent organisational skills with the ability to prioritise workloads and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to build effective relationships with customers, suppliers, and colleagues.
  • Proficient IT skills, including Microsoft Office applications, particularly Excel, Outlook, and Word.
