We are looking for a Facilities Administration Lead to effectively lead administration activity, providing excellent daily administration support to the Health & Safety (H&S), Environment, and Facility Engineering functions and enabling efficient, compliant, and safe operations across PMUK.

WHAT YOU WILL BE DOING

  • Supporting H&S, Environment, and Facility Engineering functions with general administration and system management activities, including ordering, invoicing, budget forecasting.
  • Ensuring adherence to Compliance matters across all three functions (Corporate and Legislative).
  • Monitoring and reporting on achievement against key performance metrics as required.
  • Supporting the PMUK H&S Committee in the recording of official meeting minutes and events.
  • Providing administrative support in the design, planning, and execution of capital improvement projects.
  • Overseeing administration of stock control of H&S, maintenance equipment, materials, and consumables.
  • Overseeing third party contractors at site to ensure the correct contract of work is provided, fulfilled efficiently, and in accordance with the relevant service level agreement (SLA). e.g., cleaning provider.
  • Monitoring and managing time and attendance records, skills matrix, and training records for Engineering, H&S, and Environmental functions.
  • Monitoring and managing general risk assessments and COSHH assessments for Engineering, H&S, and Environmental activities.
  • Supporting general PMUK administrative requests relating to business travel and visitor management.
  • Providing general administrative support to Panasonic HX facility.

WHAT WE ARE LOOKING FOR

  • Excellent knowledge of Excel and other Microsoft packages.
  • Ability to lead a team – previous experience would be an advantage.
  • Exceptional organisational, analytical, and problem-solving skills.
  • Customer service focus with the ability to display good communication and interpersonal skills.
  • Discretion, honesty, and integrity.
  • Knowledge of good administrative practice including financial administrative processes.
  • Possess (or be working towards) a professional Business Leadership Qualification (desirable).
  • Experience working within a manufacturing environment (desirable).
  • Where it may be required for a visa application – Advanced English, e.g., English Level B2 or equivalent. Please note that individual circumstances differ and this will be assessed on a case-by-case basis.

  • Salary: Grade 3
  • Working Hours: 07:45 – 16:30 Monday – Thursday, 07:45 – 13:30 Friday
