Job Title: Facilities and Maintenance Administrator
Are you a highly organised administrator who thrives on keeping operations running smoothly? Join DP World as a Facilities and Maintenance Administrator on this 6-month fixed-term contract and play a vital role in supporting engineering, facilities, and maintenance activities across the UK while driving compliance, efficiency, and continuous improvement.
About the Role
As a Facilities and Maintenance Administrator, you will be at the heart of our Engineering and Facilities function, ensuring administrative processes, contractor management, compliance records, and maintenance data are accurate, complete, and up to date. You will work closely with internal stakeholders and external partners to support operational excellence across multiple UK locations.
How you will contribute
- Coordinate service visits with external contractors, ensuring all required documentation including risk assessments, method statements, inductions, and insurance details are received and compliant.
- Maintain and update maintenance tracking systems, dashboards, and company records to ensure accurate reporting and performance management.
- Support the Engineering and Facilities teams with contract administration, including monitoring service contract end dates and renewal requirements.
- Manage procurement and purchase requisition activities for engineering, maintenance, and facilities requirements.
- Maintain budget and expenditure trackers, providing accurate administrative support to the wider team.
- Conduct internal compliance audits and ensure documentation meets local legal and regulatory requirements.
- Build strong relationships with colleagues, contractors, and suppliers to resolve issues and support efficient operational delivery.
- Collaborate with teams across multiple UK locations to standardise processes and promote continuous improvement initiatives.

What you will bring
- Experience in an administrative, facilities, maintenance, engineering support, or operational support role, or you may be a recent STEM graduate seeking your first opportunity in industry.
- Strong administration skills with excellent working knowledge of Microsoft Office applications.
- Ability to manage records, documentation, compliance information, and reporting systems.
- Ability to prioritise multiple tasks, meet deadlines, and maintain a high level of accuracy.
- Full UK driving licence and willingness to travel between UK sites as required.
- Builds effective working relationships across multiple teams and departments.
- Communicates clearly and confidently with stakeholders at all levels and external partners.
- Demonstrates strong organisational skills whilst managing competing priorities.
- Maintains a high level of attention to detail when handling documentation and compliance activities.
- Handles confidential information with discretion and professionalism.
