Facilities and Project Officer – Heathrow (with Multi-Site Responsibility)
The Opportunity
Join our Procurement & Contracts team as a Facilities and Project Officer, supporting the delivery of facilities management and projects across our UK & Ireland locations. This is an exciting opportunity for an organised and proactive individual to coordinate facilities activities, support project delivery, manage supplier relationships and contribute to maintaining safe, compliant and efficient workplaces across multiple sites.
Key Responsibilities
- Coordinate day-to-day facilities requests across UK & Ireland sites, ensuring issues are resolved in a timely manner.
- Maintain accurate facilities, property, asset and compliance records.
- Arrange planned and reactive maintenance activities with contractors, landlords and site teams.
- Support property-related activities, including repairs, inspections and landlord correspondence.
- Assist with the planning and delivery of facilities and business improvement projects.
- Maintain project plans, action trackers, budgets, risk logs and status reports.
- Support purchasing activities, invoice validation, cost tracking and budget management.
- Coordinate suppliers and contractors, monitoring service levels and escalating issues where required.
- Support contract renewals, quotations and supplier reviews.
- Assist with health, safety, statutory and ISO compliance activities across multiple sites.
- Support audits, inspections and risk assessments, ensuring actions are completed and documented.
- Build strong relationships with operational teams, support functions and external partners.
- Produce accurate management reports and project updates.
What We Are Looking For
Skills & Experience
- Experience in facilities management, project coordination, administration or a similar operational support role.
- Experience working across multiple sites and coordinating suppliers or contractors is desirable.
- Understanding of project coordination, action tracking and document control processes.
- Strong organisational, planning and time-management skills.
- Good understanding of facilities operations, maintenance coordination and supplier management.
- Strong attention to detail with accurate record keeping and reporting capabilities.
- Numerically competent with experience supporting budgets, purchase orders and invoice reviews.
- Proficient in Microsoft Office applications.
- Experience with SAP, Basware, project management tools or facilities systems is advantageous.
- Facilities, project management or related qualifications are desirable but not essential.

- Monday to Friday, 8:30am to 5:00pm.
- Based at Heathrow with regular travel to other UK & Ireland locations as required.
