Facilities & Records Coordinator
Location: London

Our client, a leading international professional services organisation, is seeking a highly organised and proactive Facilities & Records Coordinator to join their London team. This is an excellent opportunity for an experienced facilities, office services or workplace operations professional looking to take ownership of a varied and fast-paced role within a prestigious environment.
The Opportunity
As Facilities & Records Coordinator, you will play a key role in ensuring the smooth day-to-day operation of a busy London office. You will be responsible for maintaining an exceptional workplace experience, managing facilities and office services, overseeing records management processes, and supporting health & safety compliance across the office. This position offers significant variety and visibility, allowing you to work closely with senior stakeholders, external suppliers and colleagues across the business.
Key Responsibilities
- Coordinate the day-to-day management and maintenance of office facilities, furniture, equipment and workspace areas.
- Manage supplier and contractor relationships, monitor service levels and oversee contract renewals.
- Ensure office supplies and equipment are fully stocked and maintained.
- Support office moves, space planning projects and workplace improvements.
- Coordinate cleaning, preventative maintenance schedules and building-related services.
- Assist with office security, access control, health & safety procedures, fire safety and workplace compliance.
- Provide support for visiting colleagues and stakeholders, ensuring workspaces are fully prepared.
- Oversee records management processes, including file maintenance, offsite storage coordination and document retention procedures.
- Deliver records and facilities training to new starters and office personnel.
- Ensure outstanding internal client service and continuously identify opportunities to improve operational processes.

About You
We are looking for candidates who can demonstrate:
- Previous experience within facilities, office services, workplace operations or records management.
- Strong organisational skills with the ability to manage multiple priorities simultaneously.
- Experience liaising with suppliers, contractors and external service providers.
- Excellent communication and stakeholder management skills.
- Knowledge of health & safety processes and workplace compliance requirements.
- Strong attention to detail and a proactive, solutions-focused approach.
- Confidence working independently while collaborating effectively within a wider operations team.
