Job Summary
Reporting to the Global Facilities Manager, the role is responsible for the overall management, safety, operations, procurement, and service delivery of the London office. It combines facilities management, supplier and contract management, procurement, health and safety compliance, security coordination, business continuity, records management, and employee services. The position has supervisory responsibility for the Facilities Assistant and acts as the primary liaison between office staff, building management, suppliers, and corporate support functions.
Position Overview
Main Duties & Responsibilities
Facilities, Office Operations & Employee Services
- Ensure the safe, efficient and effective day-to-day operation of the London office, including office services, procedures and the Facilities Manual
- Manage building maintenance, repairs, renovations, office fit-outs and improvement projects, liaising with building management, suppliers and internal stakeholders as required
- Coordinate employee services, office events and workplace support activities to maintain a professional and customer-focused office environment
Health, Safety, Security & Business Continuity
- Lead and maintain compliance with UK legislative, regulatory and company health and safety requirements, including completion of required activities and mandatory training
- Manage fire warden and first aid arrangements, evacuations, annual power-down events and emergency response activities
- Act as Security Point of Contact, promote security awareness and coordinate business continuity arrangements for the London office

Procurement, Supplier & Financial Management
- Source and procure office goods and services, including the negotiation and management of supplier contracts
- Monitor supplier performance, contract compliance, service scope, costs and value, ensuring any changes follow the appropriate approval process
- Create and manage London office requisitions, review service entries and e-payables, and troubleshoot SAP/GEP-related issues
- Proactively identify and recommend cost-saving, value improvement and operational efficiency opportunities
Leadership, Stakeholder Engagement & Collaboration
- Coordinate, coach and support the Facilities Assistant, promoting accountability, service delivery and continuous improvement
- Build effective working relationships across functions, with office staff, external vendors and building management
- Collaborate with colleagues and team members to support business needs, with flexibility in working hours where required to maintain service delivery and meet operational requirements
Competency Requirements
Technical Skills
- Strong facilities and office operations management capability, ideally within a London corporate office environment
- Practical knowledge of UK Health & Safety requirements, business continuity planning, security coordination and workplace compliance
- Experience in procurement, purchasing, contract management and supplier performance oversight
- Budget, cost management and value improvement capability, including the ability to identify efficiency opportunities
- Confident use of SAP/GEP systems for requisitions, service entries, e-payables and issue resolution
- Advanced Microsoft Office capability, including Word, Excel and PowerPoint
- Strong administration, coordination, reporting and document management skills
Behavioural Skills
- Excellent planning, organisation and prioritisation skills, with the ability to manage multiple priorities independently
- Strong verbal and written communication skills, with a professional, courteous and customer-focused approach
- Effective stakeholder management, collaboration, negotiation and influencing skills
- Sound judgement, problem-solving and decision-making capability, including tact, discretion and diplomacy when handling sensitive matters
- Dependable, accountable and self-motivated, with the flexibility and resilience to remain calm and effective in a fast-paced environment
- Strong attention to detail and a proactive approach to continuous improvement and service delivery

Experience Expected
Essential
- Demonstrable experience managing facilities, office operations or workplace services in a corporate environment
- Experience managing suppliers, service contracts, procurement processes and cost controls
- Working knowledge of UK Health & Safety requirements and business continuity arrangements
- Competent user of Microsoft Office applications and relevant procurement or finance systems
Preferred
- Experience in utilities, energy, trading or similar corporate environments
- Office fit-out, refurbishment or facilities project experience
- Experience managing multiple vendors and service contracts across different service areas
