Join a leading professional services firm as a Facilities Assistant. This role will provide essential administrative and operational support to the Facilities team, ensuring the smooth day-to-day running of multiple office locations.
The successful candidate will be a highly organised administrator with excellent attention to detail, capable of managing a varied workload and delivering exceptional internal client service. Whilst previous facilities experience would be advantageous, it is not essential. We are primarily looking for someone with strong administration skills who is keen to develop within a facilities environment.
The Responsibilities
- Managing the scanning, archiving and maintenance of wills, deeds and files using the firm's database systems.
- Providing comprehensive administrative support to the Facilities team, ensuring records, documentation and databases are maintained accurately.
- Supporting daily mail room operations and ensuring the timely handling and distribution of post and deliveries.
- Providing reprographics and general office support to internal teams, including responding to stationery and other facilities-related requests.
- Ordering and maintaining office consumables, stationery and supplies to support the smooth operation of the offices.
- Logging and coordinating maintenance requests, liaising with contractors where required and ensuring issues are tracked through to completion.
- Assisting with office moves, storage management, recycling initiatives and maintaining high standards across communal areas.
- Supporting the Facilities Supervisor with health & safety administration, including new starter inductions, compliance records and documentation.
- Delivering a professional, responsive and customer-focused service to colleagues across the business.

- Strong administration experience gained within an office or professional services environment is essential.
- Previous experience within facilities, office services, workplace support or a post room environment would be desirable but is not essential.
- Excellent organisational and time management skills, with the ability to prioritise competing workloads.
- High level of accuracy and attention to detail.
- Strong communication and interpersonal skills with a proactive, customer-focused approach.
- Proficient in Microsoft Office applications, including Word, Excel and Outlook.
- A positive, adaptable attitude with the willingness to support a broad range of operational and administrative activities.
