Working with the Front of House Manager this role will be primarily responsible for the Reception responsibilities during their shift, however will regularly be required to spend time assisting throughout both buildings as required, supporting wider Facilities department requirements. The role holder will be required to deliver a first-class customer focused service to both internal & external customers, be able to work under pressure, have excellent attention to detail & problem-solving capabilities.
Please Note: This role is part time 25 hours per week over 5 days and fixed term for 6 months.
Key Responsibilities
- To meet and greet visitors, contractors and suppliers and make timely contact with their host (utilising MS Teams or other methods as appropriate). Ensure visitors remain in the reception area until they are collected. Help facilitate a seamless departure experience from site, particularly for visitors that have booked a taxi pickup or are part of a group.
- To fulfil switchboard operator requirements, ensuring compliance with TwO’s policy on contact information.
- React to a Fire Alarm activation or Bomb threat situation in accordance with the Company’s Fire and Evacuation Procedures.
- Manage the Reception area (including tea bar) on a daily basis ensuring it remains clean and tidy at all times. Report any maintenance or cleaning issues through the appropriate channels and follow up to ensure resolution.
- Complete administrative tasks as required by the Front of House Manager and/or Facilities Manager. This would include utilising SAP to raise & receipt Purchase Orders; managing site consumables (as relating to Facilities) inventory and placing orders for approval as required.
- Assist in onsite event preparation and/or pack-down as required. This could include moving office furniture, assisting with technology requirements.
- Assist in covering Gatehouse operations during colleagues lunch breaks, required Monday to Friday. Ad hoc coverage required additionally to allow Gatehouse members to attend training/general meetings as required.
- Site Facility Audits (meeting rooms; toilets, office areas etc) & rectifying or reporting issues found; daily liaison with cleaning team
- Any other general duties as required by the Front of House Manager and/or Facilities Manager.

Skills, Knowledge and Expertise
- Experience of working in a customer services role, ideally in a professional environment.
- Have a growth mindset and flexible approach to situations, understanding the common purpose of the Facilities team.
- Service oriented – focused on practical delivery of a great service and being an ambassador for the company
- Ability to develop good working relationships in a service-related function. Always willing to help and work for the team; capacity to spend time training colleagues to enhance capability across the Facilities team.
- Curious and motivated, to develop understanding of workplace processes & systems.
- Self-motivated and able to work alone
- Great attention to detail
- Able to respond positively under pressure.
- Tact, diplomacy & resilience – understanding we are a support mechanism for the wider business.
- Highly organised – both in self and own environment.
- Confident in a range of software applications – Microsoft 365, SAP (or similar purchasing software), Canva
- Works well under pressure
- Good interpersonal and communication skills, both written and verbal.
- Physically able to move meeting room furniture around as required from time to time for larger events/meetings occurring onsite
