Facilities Coordinator

Location: Alloga UK
Hours: Monday to Friday, 40 hours per week
Salary: £13.54 per hour

About The Role

We are seeking a highly organised and detail-oriented Facilities Coordinator to support the day-to-day administration of facilities activities across multiple sites. This is a predominantly administrative role requiring exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will act as a key point of contact for contractors, site teams, and external suppliers, ensuring all facilities-related activities are coordinated efficiently and in line with company procedures.

Key Responsibilities

  • Manage facilities-related enquiries from internal departments and external contractors.
  • Coordinate contractor visits and ensure all required documentation is received and validated prior to works commencing.
  • Issue contractor access cards and manage site access requirements.
  • Maintain accurate records of permits, contractor documentation, and facilities activities.
  • Raise purchase orders and track facilities expenditure.
  • Obtain and compare supplier quotations.
  • Support facilities compliance activities, audits, and reporting requirements.
  • Liaise with contractors and stakeholders to ensure work is completed safely and efficiently.
  • Assist with administrative support for maintenance, site projects, and business continuity activities.
  • Ensure all documentation is maintained to a high standard and completed within required timescales.

Essential Requirements

  • Strong administrative experience within a facilities, logistics, warehouse, or similar environment.
  • Exceptional verbal and written communication skills.
  • Advanced Microsoft Office skills, particularly Excel and Outlook.
  • Excellent organisational skills with the ability to prioritise workload effectively.
  • Strong attention to detail and accuracy.
  • Confident dealing with contractors, suppliers, and stakeholders at all levels.
  • Ability to work independently and use initiative.

Desirable

  • Experience coordinating contractors and managing site access procedures.
  • Knowledge of Health & Safety requirements.
  • Experience within a warehouse, logistics, manufacturing, or regulated environment.
