Facilities Coordinator

Job Description Summary

As a Facilities Technician, you will play a key role in delivering a high-quality, client-focused workplace experience. Acting as an ambassador for Cushman & Wakefield, you will ensure the smooth operation of reception, meeting room services, health & safety processes, and day-to-day facilities management activities. You will build strong relationships with clients, vendors, and internal teams while maintaining the highest standards of service delivery.

We are seeking a proactive and customer-focused Facilities Technician to join our team at a client-based site in London.

About the Role

As a Facilities Coordinator, you will play a key role in delivering a high-quality, client-focused workplace experience. Acting as an ambassador for Cushman & Wakefield, you will ensure the smooth operation of reception, meeting room services, health & safety processes, and day-to-day facilities management activities. You will build strong relationships with clients, vendors, and internal teams while maintaining the highest standards of service delivery.

Key Responsibilities

Client Service & Workplace Experience

  • Deliver an effective, customer-focused service aligned with contract specifications and service levels.
  • Build and maintain positive relationships with clients and C&W vendors.
  • Act as the office ambassador—greeting visitors, managing reception duties, and ensuring a professional environment.
  • Manage meeting room bookings, specialist room coordination, and room setup to agreed standards.
  • Serve as the primary contact for service requests, logging and tracking tasks via Famis360.

Facilities Operations

  • Conduct daily and monthly facility inspections, identifying issues and ensuring timely resolution.
  • Manage general office supplies, ordering and replenishing as required.
  • Ensure compliance with C&W policies, procedures, and standard practices.
  • Provide administrative support when needed.

Health, Safety & Security

  • Oversee workplace health and safety, including incident and near-miss reporting.
  • Ensure adherence to client security processes, including visitor sign-in and pass management.
  • Act as the key site contact for safety-related matters.

Experience & Technical Skills

  • Proactive approach with strong planning and organisational skills.
  • Ability to close work orders within agreed timescales.
  • Knowledge of Health & Safety legislation.
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and standard C&W technology tools.
  • Comfortable working with minimal supervision.
