The Position

As a Facilities Coordinator, you will help ensure our Pirbright site is safe, compliant and running smoothly. You will coordinate day-to-day facilities services, building maintenance, workplace systems and external contractors, while acting as a key contact for colleagues and site stakeholders.

This practical, hands-on role covers maintenance, office services, meeting rooms, desk booking, catering, cleaning and EV charging facilities.

Note: This is a limited-term opportunity, with the contract running until 31 December 2027.

Key Responsibilities

  • Coordinate planned and reactive maintenance activities across the site.
  • Support building infrastructure, utilities, workplace equipment and facility assets.
  • Manage workplace services, including office space, meeting rooms, desk booking and workplace requests.
  • Coordinate external contractors and service providers, including cleaning, catering and maintenance suppliers.
  • Monitor service quality, contractor compliance and completion of agreed actions.
  • Oversee the day-to-day operation and maintenance of EV charging facilities.
  • Maintain accurate facilities, maintenance, contractor and asset records.
  • Support statutory inspections, risk assessments, audits and compliance activities.
  • Identify facilities issues and improvement opportunities, escalating risks where required.
  • Ensure activities meet company Health & Safety, Biosecurity and GMP standards.

Requirements

  • Experience in facilities, workplace, maintenance or building services coordination.
  • Experience coordinating contractors and service providers, with a good understanding of Health & Safety requirements.
  • Excellent organisational, communication and problem-solving skills, with the ability to manage several priorities.
  • A practical, solutions-focused approach and the ability to work independently.
  • Good IT skills and confidence maintaining accurate records and reports.
  • Fluent English and the ability to understand technical documentation and drawings. Experience in a regulated environment would be an advantage.
