CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Facilities Coordinator to join the team located in Burgess Hill on a permanent basis.

About The Role

We are seeking a highly organised, customer-focused, and proactive Facilities Coordinator to support the delivery of an exceptional workplace experience for every colleague, at every site, every day. This role is ideal for an individual who is passionate about service excellence, operational efficiency, and creating a frictionless workplace environment through effective coordination of facilities services, vendor management, and customer support.

As a CBRE Facilities Coordinator, you will play a key role in supporting the daily operation of the workplace by coordinating service requests, managing work orders, maintaining records, and ensuring vendors, contractors, and stakeholders comply with established procedures and standards. You will work closely with facilities teams, landlords, service providers, and clients to ensure issues are resolved efficiently and workplace services are delivered to a high standard. This position requires a detail-oriented individual who can effectively manage multiple priorities while maintaining a strong customer-first approach.

What You'll Do

Workplace Coordination & Service Excellence

  • Serve as a key point of contact for colleague inquiries, service requests, and workplace support needs.
  • Acknowledge and coordinate all client requests and work orders, ensuring timely updates and resolution.
  • Support the delivery and adoption of workplace standards, policies, and procedures.
  • Foster positive relationships with colleagues, landlords, vendors, and service partners.
  • Help create a seamless and frictionless workplace experience through proactive communication and service coordination.
  • Escalate issues appropriately while ensuring stakeholders remain informed throughout the process.

Operational Support & Administration

  • Coordinate and track work orders, service requests, vendor proposals, and facilities documentation.
  • Maintain department records, compliance documentation, contracts, and filing systems.
  • Compile reports and performance information to support operational reviews and decision making.
  • Monitor vendor activities to ensure work is completed safely, efficiently, and in accordance with site requirements.
  • Support facilities inspections, audits, and compliance activities.
  • Assist with budgeting, purchase requests, invoice processing, and cost tracking where required.
  • Monitor building-related activities including waste management, recycling programmes, and external service provision.

Vendor & Client Relationship Management

  • Work closely with landlords, contractors, and service providers to ensure compliance with agreed procedures, policies, and reporting requirements.
  • Monitor contractor performance and support service quality reviews.
  • Coordinate access arrangements, permits, and service schedules as required.
  • Develop strong working relationships with internal and external stakeholders to support service delivery.
  • Provide timely updates on work progress, outstanding actions, and service issues.

Workplace Experience & Continuous Improvement

  • Gather and share workplace feedback to support service enhancements and continuous improvement initiatives.
  • Identify opportunities to improve processes, service delivery, and operational efficiencies.
  • Support workplace programmes and site initiatives that enhance colleague engagement and workplace satisfaction.
  • Help ensure all workplace services align with CBRE’s commitment to service excellence and customer experience.

  • Operational Efficiency: Accurate coordination and completion of work orders, documentation, and reporting.

  • Process Compliance: Consistent adherence to site policies, procedures, and regulatory requirements.

Education & Experience

  • Up to 2 years of relevant facilities, workplace, property management, administration, or customer service experience.
  • Experience within facilities management, workplace experience, property management, or related service environments preferred.
  • Additional facilities management qualifications or certifications would be advantageous.
