Facilities Coordinator London

Role Responsibilities

  • Operational Coordination: Responsible for the operational coordination of all on-site Facilities services and the associated contractor personnel providing high quality customer service and experiences.
  • Day-to-Day FM Service Delivery: Responsible for supporting the day-to-day FM service delivery, providing a five-star workplace experience.
  • Team Support: Provide support to the team in relation to all FM matters.
  • Facilities Manager Support: Actively support the Facilities Manager.
  • Client-Vendor Liaison: Point of contact between Client and Service vendors.
  • Financial Management: Management of financial processes.
  • Event Coordination and Management: Event coordination and management.
  • Maintenance Programs: Support the Facilities Manager with the day-to-day operations and management of the maintenance programs relating to the interior and exterior conditions of the buildings to ensure these are carried out in a manner consistent with the Service Provider’s policies & directives.
  • KPI and SLA Delivery: Excel in the delivery of KPI's and SLA's.
  • Service Provider Management: Managing outsourced service providers to ensure the satisfactory performance and compliance with contract obligations.
  • Health & Safety Compliance: Input into the FM Health & Safety program to ensure compliance with all relevant workplace Health & Safety legislation and compliance with companies’ policies and procedures.
  • Reporting and Analysis: Validate and review all monthly reporting activities and identify trends and patterns and recognise excellence or initiate improvements when required.
  • Workplace Ambassador: Be a proactive ambassador for your workplace and provide solutions to issues when required.
  • Client Relationship: Build and develop a trusting relationship with the client through continuous communication.

  • Previous Facilities / Workplace Management experience
  • Excellent communication skills, adapts style to varying situations, engages and informs others
  • Possess a high level of IT literacy
  • Applies strategy to bring creative and innovative solutions
  • A strong understanding of good health & safety practices and promotes a strong Health & Safety culture
  • Experience promoting high quality Customer Service and customised service
  • Experience of managing contracts, operating to processes and procedures, with supervision of contractors
