The Role:

The Facilities Coordinator is responsible for supporting the day-to-day coordination of the Financial Services Company offices and facilities services.

The Facilities Coordinator role focuses on operational delivery, administration, supplier coordination, basic IT support and regular travel between Group office locations, while providing an excellent to develop experience in property, workplace and first-line technology support under the guidance of the Head of Technology Operations

The Facilities Coordinator will coordinate day-to-day facilities activity across the Financial Services Firm’s properties and act as a first point of contact for routine property and workplace queries. Travel to Group office locations as required to support site checks, supplier visits, workplace issues and local facilities needs. Maintain accurate records for leases, licences, supplier contracts, compliance certificates, property information and access arrangements. Coordinate third-party suppliers and contractors for services such as cleaning, maintenance, utilities, air conditioning, printing and postage.

The Facilities Coordinator will schedule and track statutory inspections, testing and risk assessments including fire, electrical, gas, PAT, asbestos and legionella requirements, ensuring records are up to date and issues are escalated. Provide basic IT support for routine user issues, such as first-line troubleshooting, device setup coordination, peripheral support and escalating more complex incidents to the appropriate technology team or supplier.

The Facilities Coordinator will support the management of facilities budgets by raising purchase requests, tracking routine costs and obtaining quotations where required, and will provide administrative and coordination support for property moves, office changes, acquisitions onboarding and other facilities-related projects as required.

The Facilities Coordinator will build and maintain effective working relationships with colleagues, office contacts and external suppliers. Support the Head of Technology Operations by providing accurate information, records and updates to inform higher-level property and facilities decision-making.

The Candidate

This role would suit a graduate or early-career candidate looking to build experience in Facilities, workplace support or property coordination.

Previous experience in a similar Facilities role would be helpful but is not essential, experience gained through internships, part-time work, administration, customer service or office-based environments would be beneficial.

Microsoft 365 applications, including Outlook, Word, Excel and Teams. Willingness and ability to travel to Group office locations as required.
