Job Summary
TUV Rheinland UK is looking for a Facilities and COP manager responsible for providing leadership and oversight across two key operational areas: Commercial Order Processing (COP) and Facilities Management.
The role has direct responsibility for the COP function and provides managerial oversight of the Facilities Management function through the existing Facilities Manager. The position ensures effective operational performance, appropriate prioritization, efficient service delivery, and strong cooperation with internal stakeholders across both areas.
The role is also responsible for developing, documenting, and maintaining procedures, working instructions, and operational controls to support consistent, efficient, and compliant processes.
Job Description
Team Leadership & Coordination
- Lead and coordinate the COP team, including allocation and prioritization of activities, workload management, and performance oversight.
- Provide managerial oversight and direction to the Facilities Manager, supporting effective delivery of Facilities Management activities and ensuring alignment with business priorities.
- Monitor workloads, performance, and operational priorities, acting as an escalation point when required.
- Cooperate with Project Management, Sales, Finance, Procurement, HSE, and other internal stakeholders.
- Develop, write, and maintain procedures, work instructions, and process documentation for both functional areas.
- Identify and implement opportunities for process improvement, standardization, and stronger operational controls.
- Maintain appropriate operational records, documentation, and reporting.

Facilities Management
- Provide oversight of Facilities Management activities, working through the Facilities Manager to ensure effective day-to-day operation of sites, buildings, and related facilities.
- Ensure appropriate coordination of facility services, including housekeeping, reception, security, gardening, waste management, and removals.
- Support the Facilities Manager in space management and efficient utilization of facilities.
- Support the Facilities Manager in resolving complex or significant operational matters and in implementing service improvements.
Commercial Order Processing
- Oversee accurate and timely creation, maintenance, and processing of customer sales orders in line with quotations, contracts, and internal procedures.
- Ensure commercial and customer information is correctly maintained throughout the order lifecycle.
- Oversee order changes, project-related charges, subcontractor costs, and purchase orders where applicable.
- Coordinate order completion and invoicing activities, including payment requests, credit notes, and outstanding information.
- Monitor invoicing deadlines, purchase order coverage, backlog, and order status to support timely billing.
- Coordinate resolution of invoice queries, complaints, and commercial discrepancies.
- Ensure completed orders are reviewed and properly closed, escalating commercially problematic or non-profitable orders where necessary.
Requirements
Education & Experience
- Qualification in Business Administration, Facilities Management, or a related field, or equivalent professional experience.
- 3–5 years of relevant experience in facilities, commercial administration, order processing, or similar operational functions.
- Experience coordinating or leading employees is desirable.
- Experience working with suppliers, service providers, and cross-functional stakeholders.
- SAP or other ERP system experience is desirable.
- Understanding of sales order processing, invoicing, and order-to-cash processes is an advantage.
