Job Role: Facilities Executive
Location: Brighton
1X2 Network is looking for a Facilities Executive to support the day-to-day running of our Brighton office, reporting directly to the Office Manager. This is an opportunity to join a creative, independent software company and help create a welcoming, well-organised workplace for our team.

The Position
The Facilities Executive will help keep our Brighton office safe, presentable and ready for the working day. Working under the direction of the Office Manager, you will coordinate routine facilities tasks, liaise with suppliers and contractors and respond to everyday workplace requests. This is a practical, service-focused role for someone who notices what needs doing and follows tasks through. You will work closely with the Office Manager, HR and IT to support colleagues and visitors, escalating issues and obtaining approval where required. This role is based in the Brighton office.
Responsibilities
Office Facilities and Maintenance
- Carry out regular office checks, keeping meeting rooms, kitchens and shared areas tidy, stocked and ready to use.
- Log maintenance issues, arrange approved repairs and routine servicing and follow up with contractors until work is complete.
- Coordinate cleaning, waste collection and other office services, raising any concerns about quality with the Office Manager.
- Support desk moves, furniture deliveries and office improvements, coordinating with IT where equipment is involved.

Suppliers and Office Supplies
- Monitor and replenish stationery, refreshments, kitchen supplies and other office essentials within agreed spending limits.
- Obtain quotes, arrange approved orders and liaise with suppliers about deliveries and service visits.
- Check deliveries and invoices against orders, resolve discrepancies and pass the relevant information to Finance.
- Keep supplier details, service schedules and purchasing records up to date, flagging renewals and potential savings to the Office Manager.
Health Safety and Security Support
- Support the Office Manager with workplace checks, risk assessment actions and accurate facilities records.
- Help arrange safety inspections, equipment servicing and fire drills with the appropriate colleagues or qualified providers, tracking due dates and outstanding actions.
- Report hazards, incidents and urgent maintenance issues promptly, following agreed escalation and emergency procedures.
- Administer visitor sign-in, access passes and keys in line with company procedures, and coordinate contractor access and site information.
Colleague and Visitor Support
- Act as an approachable first point of contact for routine office requests, resolving straightforward issues and escalating others to the Office Manager.
- Welcome visitors, coordinate meeting room setup and refreshments and handle incoming post, couriers and deliveries.
- Work with HR and IT to prepare desks, access passes and office inductions for new starters, and support the return of office items when colleagues leave.
- Assist the Office Manager with team events, catering and other practical arrangements for office activities.
Administration and Communication
- Maintain a clear task and issue log, keeping the Office Manager informed of progress, costs and anything requiring a decision.
- Share timely updates with colleagues about maintenance, visits or disruption, as agreed with the Office Manager.
- Suggest practical improvements to office organisation, service quality and waste reduction, and support their implementation once approved.

Required Experience
- Experience in facilities support, office administration, reception, hospitality or a similar role involving day-to-day service coordination.
- Strong organisational skills, with the ability to prioritise requests and keep accurate records.
- Confident communication skills and a friendly, professional approach to colleagues, visitors and suppliers.
- Experience arranging services, managing supplies or coordinating practical tasks through to completion.
- Confidence using Microsoft Office or similar tools for email, calendars, spreadsheets and documents.
- Awareness of workplace health and safety and the importance of following procedures and escalating concerns.
Desirable Experience
- Experience working with building maintenance contractors, cleaning providers or other facilities suppliers.
- Experience supporting workplace inspections, safety records or contractor visits.
- First aid or fire marshal training, or a willingness to undertake relevant training.
- Experience helping with office moves, new starter arrangements or team events.
