Facilities Helpdesk Executive - FM / Customer Service - East London - £32k-£35k - Shift basis over 7 day week

We are looking for an experienced Facilities Helpdesk Executive, with excellent communication skills and experience utilising CAFM (Computer-Aided Facilities Management software), to join the Building Services team of a well-established and highly successful organisation in East London.

The Role

The Facilities Helpdesk Executive will be the central point of contact for all internal and external clients needing to report issues across the site. You will be responsible for ensuring all faults, enquiries and service requests are logged, prioritised and resolved efficiently.

The role is office-based and requires flexibility to work across a 7-day week (including weekends and bank holidays).

Key Responsibilities

  • Key point of contact for all guests (clients, visitors and internal staff) via phone, email and in-person
  • Proactively logging, prioritising and managing all reactive, planned and statutory jobs in the CAFM system
  • Logging faults, managing jobs, chasing completions, escalating delays and supporting the achievement of SLAs and KPIs
  • Maintaining all records and files, ensuring all documentation, reports and compliance materials are correctly saved and tracked
  • Supporting monthly compliance audits, preparing documentation and supporting actions
  • Producing regular reports
  • Supporting event-based facilities requirements including equipment set up
  • Raising purchase orders for the team and external contractors
  • Maintaining all databases and online systems accurately and in a timely manner
  • General departmental administration

What We’re Looking For

  • Demonstrable experience providing facilities helpdesk / administration support in a customer-facing, fast-paced role
  • Experience using CAFM system (ideally MRI Evolution)
  • Experience logging, categorising, assigning and tracking reactive, planned and statutory building services jobs (or similar)
  • Impeccable communication skills
  • Desire to provide excellent levels of customer service at all times
  • Accurate database skills
  • Personable, welcoming, proactive and professional nature
  • IT literate with strong MS Office
  • Ability to learn and adapt to new systems quickly and efficiently
  • Accurate attention to detail
  • Available to work flexibly across a 7-day week (including weekends and bank holidays)
