Job Title: Facilities Maintenance Assistant
Reporting to: Business Services Team Leader
Permanent / Part time
Job Summary
As a Facilities Maintenance Assistant, you will be part of a cross-functional Facilities team providing a number of essential support services to Minster Law.
- To carry out general maintenance, bring to the notice of the Facilities and Health & Safety Manager any deterioration of the building or system that may affect the operational capability of the site.
- To ensure the company’s operational efficiency is in no way compromised by shortcomings of building infrastructure.
- To ensure effective communications are established throughout all levels of the business and a safe working environment maintained at all times.
With a focus on providing excellent customer service to your Minster Law colleagues and to our customers, you will be an essential point of contact for the business undertaking a range of support services including the resolution of facilities requests.
- You will provide support to the Facilities and Health & Safety Manager in the management of health and safety across the business and the general day to day running of the Minster Law office.
Core Responsibilities
- Undertaking basic planned preventative maintenance or repair tasks in and around the building.
- Supervise on site contractors, where required, ensuring Health & Safety requirements are in place and ensure that they work within these guidelines.
- Carry out daily checks, routine monitoring and repairs and liaise with the Line Manager if specialist repairs are necessary.
- Provide a first point of contact for the business in relations to all basic maintenance and repair tasks and to respond quickly and efficiently to the tasks.
- Support the Line Manager in ensuring that our site is serviced and maintained. This includes completing building checks for damage and defects, undertaking interior decoration and taking accurate system and utility readings ensuring these are recorded accurately.
- Support with the delivery of company projects on-time and within budget.
- To ensure that contractor control is in place and permit to works are adhered to.
- To support the Line Manager, ensuring regular test and checks are carried out and recorded, including boilers function checks, fire alarm systems activation and water services and water temperature tests. Including Fire Evacuations and First aid, and any other areas that are deemed necessary. Full training will be provided where appropriate.
- Report to the Line Manager any incident that may adversely affect service, delivery or customer satisfaction, or any deterioration of the building.
- Provide support and fulfil duties of the Facilities support assistant when required, welcome visitors, support new colleague onboarding and direct contractors, and visitors to the relevant colleagues.
- Coordinate and prepare meeting rooms, arrange furniture and layouts.
- To deal with confidential information sensitively and appropriately.
- To undertake any other tasks as deemed relevant and reasonable by the business, including working some unsociable hours, if necessary to meet demand.
- Ensure that tools and equipment are suitable and sufficient for the task, maintained and stored safely.

Key Performance Indicators
Your KPIs and Objectives will be discussed and agreed with you on a one-to-one basis. You will have regular one-to-one meetings with your line manager to review your performance against these objectives and identify any areas for development and/or required support.
Person Specification
Essential
- Proven maintenance skills and experience.
- Experience working within a fast-paced customer facing environment with excellent customer service, communication skills.
- Ability to work to deadlines and multitask with good time management skills, managing your workload and prioritising effectively.
- Good attention to detail, producing consistent quality work.
- Proactive in approach identifying potential issues and escalating as appropriate.
- Desire to achieve results, uses own initiative to meet objectives and service level agreements.
- Acts as a professional ambassador for the business, upholding high standards of appearance, behaviour, communication, and workplace etiquette.
- Full UK Driving License is essential and access to own transport.
