Summary

Facilities vendor management and maintenance scheduling role to incorporate the following responsibilities with the emphasis on the administration of the current maintenance scheduling system and any upgrades to the system as they are introduced. The role falls within a GxP environment.

Responsibilities

  • Preparation of Permit To Work to include collation of vendor insurances, Risk Assessments and Method Statements (RAMS).
  • Planning, scheduling and coordination of service and equipment maintenance schedules.
  • The first contact for visiting vendors and to perform site inductions and complete permits following current site EHS guidelines.
  • Contract / quote negotiation with vendors and subsequent purchase requisition preparation.
  • Monitoring of the department budget with regards to contract, maintenance and utilities spending.
  • First line supervision for cleaning staff whether contracted or vendor supplied.
  • Maintenance and Calibration work order preparation. Amendments as required to the works scheduler and tracking software.
  • Produce and amend maintenance tasks, SOPs and associated supporting documentation in compliance with the current QMS.
  • Membership of the work safety committee providing and implementing safety actions.
  • Maintaining equipment history with the use of equipment files for the recording of any maintenance, calibrations and supplier documentation.
  • Prepare monthly KPIs and delegate when required on behalf of the Engineering and Facilities Department at Quality review meetings.
  • Deputise for the Facilities Manager on Fridays, to ensure coverage throughout the week.
  • Finding and implementing ways of streamlining the current maintenance system, including supporting the transition onto a computerised maintenance management system (CMMS).
  • Identify and implement waste and cost saving opportunities within the Engineering and Facilities team.
  • Comply with all safety, health, and environmental requirements.

Key Skills and Competencies

  • A Level, HNC, minimum 5 years in a similar role, GxP Quality experience, Excel/Word/SAP with CMMS (Computerised Maintenance Management System) experience.
  • We also require candidates to be competent with IT systems, and in particular Microsoft Office including Outlook, PowerPoint, Word and Excel.
