Job: Facilities Management Administrator
Location: Leeds
Salary: £28,000 per annum
Hours: Monday – Friday

Are you an experienced administrator or coordinator with a background in Facilities Management, contract support, maintenance or a technical service environment?
We’re working with an established and growing Facilities Management business that is looking to strengthen its team with a Facilities Management Administrator.
This is a varied role supporting the day to day delivery of FM services, working closely with engineers, customers, suppliers and internal teams to ensure works are quoted, planned, completed and invoiced efficiently.
It would suit someone who enjoys being at the centre of an operation, is comfortable managing multiple priorities and has a good understanding of how full Facilities Management contracts operate.
What Will You Be Doing?
As Facilities Management Administrator, you will provide key administrative and coordination support across a portfolio of FM work, including:
- Coordinating maintenance and service works from initial enquiry through to completion.
- Supporting engineers and field based teams with information and job requirements.
- Preparing and processing quotations for customers.
- Liaising with suppliers and subcontractors to obtain pricing, availability and technical information.
- Raising and progressing jobs through internal systems.
- Coordinating with operational teams to schedule and plan works.
- Ordering parts, materials and equipment in line with planned works.
- Monitoring jobs and ensuring information is kept up to date.
- Dealing with supplier, purchase order and invoice queries.
- Supporting the completion and invoicing of works.
- Maintaining accurate job, customer and contract records.
- Liaising with internal teams to ensure work is progressed efficiently.
- Providing general administrative and operational support to the wider FM team.
- Building strong knowledge of customer requirements, contracts and service delivery.

About You
We’re looking for someone who understands the pace and demands of a Facilities Management environment and can confidently coordinate information between engineers, suppliers, customers and internal teams.
We’re Particularly Interested In Candidates With
- Previous experience within Facilities Management, ideally across full FM contracts rather than a single technical discipline.
- Experience coordinating engineers, contractors, suppliers or maintenance works.
- Good understanding of planned and reactive maintenance.
- Experience handling quotations, purchase orders, invoices or similar commercial administration.
- Strong organisational skills and attention to detail.
- Confident communication skills and the ability to deal with a range of stakeholders.
- A proactive approach to resolving issues and keeping work moving.
- Good IT skills and confidence learning new systems.
- The ability to manage multiple jobs and priorities in a busy environment.
