Facilities Management Assistant – 2 Month Contract
Location: County Hall, Nottingham, NG2 7QP
Rate: £17.51 per hour (Umbrella)
Contract: 2 Month Contract
Hours: Full Time
Working Pattern: Split Shift (6:00am - 10:00am & 3:00pm - 6:00pm)
DBS: Enhanced DBS Required
Driving Requirement: Own Vehicle Required
Pay: Bi-weekly
Summary
We are looking for a dynamic and well-organized Facilities Management Assistant to contribute to the effective delivery of facilities management services across various sites. In collaboration with the Account Manager, you will play a crucial role in maintaining high service standards, ensuring customer satisfaction, and adhering to compliance requirements in cleaning and caretaking operations. This position involves diverse responsibilities, including site visits, staff support, service monitoring, recruitment, and operational planning.
Responsibilities
- Assist the Account Manager in executing Facilities Management Service Level Agreements and contracts.
- Oversee service delivery at multiple locations to uphold high standards.
- Conduct regular site visits, inspections, and audits.
- Document findings and provide feedback to foster continuous service improvement.
- Engage with customers and stakeholders to assess service performance and satisfaction.
- Aid in the recruitment process for cleaning and caretaking staff, including:
- Reviewing applications
- Conducting interviews
- Supporting onboarding processes
- Facilitate training and development for frontline employees.
- Plan and allocate mobile staff to cover absences due to sickness, leave, etc.
- Ensure staffing levels are sufficient across all sites.
- Support operational planning and workforce deployment.
- Cultivate positive relationships with customers and frontline staff.

Essential Requirements
- Experience in Facilities Management, Cleaning Services, Caretaking Services, or a similar operational field.
- Proficiency in monitoring service standards and conducting site inspections.
- Strong skills in customer service and relationship management.
- Experience in recruitment, training, or staff supervision.
- Excellent organizational and communication abilities.
- Capability to work independently and manage multiple tasks.
- Proficient IT skills with experience in maintaining records and reports.
- Full UK Driving Licence and access to your own vehicle.
- Enhanced DBS Check.
- Ability to work the specified split shift pattern.

Desirable
- Experience in a Local Authority or public sector setting.
- Familiarity with managing service contracts or Service Level Agreements.
- Experience in coordinating mobile teams or frontline operational staff.
- Knowledge of cleaning and caretaking service delivery.
