Facilities Management Coordinator
Based - Derby DE24 (on our Rolls-Royce Account)
Hours – 40 (Monday to Friday)
About the Role
JLL is seeking a diligent and detail-oriented Facilities Management Coordinator to join our dedicated team on the prestigious Rolls-Royce account, based in Derby. This role serves as a vital link between our operational delivery teams and the finance department, ensuring seamless financial processing, supplier management, and overall operational efficiency.
You will be responsible for the integrity of our work order and purchase order systems, playing a key part in maintaining strong supplier relationships, driving process improvements across the account.
Key Responsibilities
Work Order & Purchase Order Management
- Conduct thorough data validation in our Corrigo work order system, including checking 'Not to Exceed' (NTE) limits, confirming quotes are attached, and verifying Rolls-Royce cost centres or Coupa PO numbers.
- Manage the end-to-end Purchase Order (PO) lifecycle in our E1 system, from raising contract POs and processing Goods Received Notes (GRNs) to ensuring correct coding and instructing Accounts Payable on invoice matching.
- Perform validation checks to ensure alignment between supplier quotes in Corrigo and PO values in E1.
- Enforce financial controls by ensuring no E1 PO is raised without a corresponding approved Corrigo work order.
- Liaise with operational teams to ensure all work order statuses and information are kept up to date in real-time.
Supplier & Financial Administration
- Act as an operational point of contact for critical suppliers, managing relationships to avoid service disruptions and payment holds.
- Manage open and call-off POs, validating annual cost submissions from suppliers.
- Investigate and resolve disputed invoices and CIS (Construction Industry Scheme) issues by coordinating with suppliers and our Accounts Payable team.
- Request credit notes from suppliers where necessary to resolve financial discrepancies.

Collaboration & Process Improvement
- Foster a strong, collaborative link between the Operations and Finance departments.
- Provide training and guidance to internal teams on financial and system processes to ensure compliance and understanding.
- Proactively identify opportunities to improve team processes and work collaboratively to implement effective changes.
- Serve as a key resource for handling ad-hoc queries and information requests from various stakeholders.
Requirements
- Proven experience in an operations support, finance administration, or a similar role.
- Experience with financial or work order management systems is essential; specific knowledge of Corrigo and/or E1 is highly advantageous.
- Exceptional attention to detail and a high degree of accuracy.
- Strong analytical and problem-solving skills, with the ability to manage and resolve financial discrepancies.
- Excellent communication and interpersonal skills, with the confidence to liaise with internal teams, suppliers, and our client.
- A collaborative mindset with a focus on continuous process improvement.
