Job Description

We have a new opportunity to join our team as a Facilities Manager on a permanent basis in London.

This is a brilliant opportunity to take ownership of the day-to-day workplace experience across a busy and high profile site, leading the people, partners and services that help to create a safe and welcoming environment for everyone who works there.

Reporting to the Facilities Director, you’ll oversee the smooth and effective operation of the site, working closely with our Facilities Team and external service partners to maintain high standards across everything from service delivery and compliance to sustainability and operational resilience.

Relationships will be at the heart of this role, and you’ll work closely with colleagues across Penguin Random House, DK and BMG, getting to know the needs and culture of each business. Alongside this, you’ll lead and develop a knowledgeable, collaborative and customer-focused Facilities Team, creating a culture of excellent service and continuous improvement.

Key responsibilities:

  • Ensure business critical building systems are effectively maintained, tested and supported through robust planned and reactive maintenance arrangements.
  • Manage the property operating budget, including forecasting, financial control and reporting.
  • Oversee Facilities projects, alterations and refurbishments, ensuring delivery against agreed scope, cost, programme and risk.
  • Manage landlord approvals and other requirements associated with building works.
  • Monitor workplace standards through inspections, audits and quality controls, making sure remedial actions are completed promptly.
  • Maintain effective emergency response and business continuity arrangements, including support for critical incidents when required.
  • Use Facilities systems, operational data and performance reporting to monitor service delivery, identify trends and support decision making.
  • Maintain oversight of Facilities related risks, ensuring appropriate mitigation, escalation and reporting.
  • Manage outsourced hard and soft FM contracts against agreed SLAs, KPIs and service standards.
  • Monitor supplier performance, value for money and opportunities to improve service delivery.
  • Oversee contractor compliance, including risk assessments, permits to work, insurance and other required documentation.
  • Support procurement, tendering, mobilisation, contract renewal and supplier transition activity.
  • Manage workplace adjustments arising through the Tailored Adjustment Plans process.
  • Maintain appropriate statutory and operational Facilities documentation, records and asset information.

What you’ll bring

Essential criteria:

  • Demonstrable facilities management experience within a large or complex workplace.
  • Experience managing both hard and soft FM services.
  • Strong knowledge of statutory compliance and building safety requirements.
  • Proven contractor and supplier management experience, including SLAs and KPIs.
  • Budget management and financial reporting experience.
  • Proven team leadership and performance-management experience.
  • Experience managing incidents, emergencies and business continuity arrangements.
  • Strong stakeholder management, communication and customer-service skills, with the ability to work effectively at all levels.
  • Experience using Microsoft 365 and Facilities/CAFM or help-desk systems.
  • IOSH Managing Safely or equivalent/higher health & safety qualification.

Preferred criteria:

  • IWFM qualification or professional membership.
  • NEBOSH qualification or equivalent advanced health & safety training.
  • Experience delivering Facilities projects, refurbishments or workplace change.
  • Experience working within a multi-occupier corporate environment.

Salary

The salary for this opportunity is c. £60,000 depending on how your skills and experience align to the role, plus a generous bonus scheme and benefits.

Hybrid working

While our offices across the UK are places to connect, collaborate and celebrate with colleagues, we recognise that flexibility around where you work is just as important. However, for this role we require the successful candidate to work from our London-based offices 5 days per week.
