As our business and teams continue to grow, we have recently moved into a new, larger Head Office in Highbury, London.

Role Overview

Glent Group is looking for a proactive and organised Facilities & Office Coordinator to support the day-to-day running of our new London Head Office.

The role will be responsible for ensuring the office is well maintained, safe, organised and fully operational for Glent employees. This will include coordinating maintenance and repairs, managing contractors and suppliers, overseeing office facilities and supporting health and safety requirements.

The role will also provide day-to-day support to the Office Manager with general office administration, travel arrangements and flight bookings as required.

We are looking for someone who is hands-on, reliable and proactive. The successful candidate should be comfortable taking ownership of the office and dealing with issues as they arise, while also being willing to support the wider team with general office tasks.

They should be organised, approachable and service-focused, with the ability to work with employees at all levels of the business as well as external contractors and suppliers.

Key Responsibilities

Facilities Management

  • Take responsibility for the day-to-day running and upkeep of the London office.
  • Coordinate planned and reactive maintenance, repairs and servicing.
  • Act as the main point of contact for contractors, engineers and facilities suppliers.
  • Arrange access for contractors and oversee works carried out within the office.
  • Carry out regular checks of the office and identify any maintenance, repair or safety issues.
  • Ensure facilities issues are followed through to completion.
  • Coordinate servicing and maintenance of office equipment and building systems.
  • Manage relationships with cleaning, waste, security, maintenance and other facilities providers.
  • Monitor the standard of cleaning and general presentation of the office.
  • Manage office keys, access cards and building access arrangements.
  • Maintain facilities records, service schedules, certificates and contractor documentation.
  • Support with office improvements, refurbishments, furniture installation and office moves where required.
  • Obtain quotations from suppliers and contractors and assist with monitoring facilities-related expenditure.
  • Monitor stock levels and arrange orders for office, kitchen and general supplies.
  • Ensure meeting rooms, communal areas, kitchens and shared spaces are maintained to a high standard.

Health & Safety

  • Support the implementation of office health and safety requirements.
  • Coordinate relevant inspections, servicing and compliance checks.
  • Maintain records relating to fire safety, emergency procedures, first aid and other office health and safety requirements.
  • Report and follow up on any facilities or safety concerns.
  • Assist with workplace risk assessments and other compliance requirements where needed.

Office & Travel Support

  • Support the Office Manager with the general day-to-day running of the office.
  • Assist with employee and visitor requirements.
  • Arrange flights and other business travel for Glent employees as required.
  • Support with travel changes, cancellations and booking queries.
  • Assist with meeting room bookings, meetings, events and internal office activities.
  • Receive and coordinate deliveries, couriers and post where required.
  • Provide general administrative support to the Office Manager and wider business when needed.

Skills & Experience

  • Previous experience in facilities, workplace coordination, office management or a similar role.
  • Experience coordinating contractors, suppliers and maintenance works.
  • Good understanding of workplace health and safety requirements.
  • Strong organisational skills and the ability to manage multiple priorities.
  • Practical and proactive approach to resolving problems.
  • Comfortable dealing with suppliers and obtaining and comparing quotations.
  • Strong communication and interpersonal skills.
  • Good attention to detail and ability to follow tasks through to completion.
  • Confident using Microsoft Office and general office systems.
  • Comfortable arranging business travel and managing bookings.
  • Able to work independently and take ownership of day-to-day facilities matters.
  • Flexible approach and willingness to support with wider office management duties when required.
