We are recruiting a Facilities Officer to support the smooth, safe and efficient running of our Black Horse Road office. From welcoming office environments to collaborative workspaces, you'll help ensure our facilities remain safe, professional and enjoyable places to work for everyone who uses them. You will support day-to-day building operations, health and safety checks, contractor coordination, office support tasks and general workplace management.
You will act as a first point of contact for colleagues using the building, responding promptly to issues, monitoring service standards and helping ensure the office remains safe, compliant and well presented.
Key Responsibilities
- Support the Facilities Manager with day-to-day building operations, responding to requests and raising work orders
- Carry out routine health and safety checks including fire alarm tests, emergency lighting inspections, cleaning audits, workstation assessments and daily building walk-throughs
- Escalate risks and maintain accurate documentation
- Raise purchase orders, check invoices and ensure timely payment
- Liaise with contractors to schedule and oversee reactive and planned maintenance
- Maintain facilities records including asset registers, compliance logs, permits-to-work and contractor sign-ins
- Act as a friendly, professional first point of contact for colleagues and visitors
- Support the facilities helpdesk and provide updates on outstanding actions
- Assist with office moves, furniture setups, space utilisation checks and ensuring communal areas remain tidy and well presented
- Set up meeting rooms and liaise with IT where required
- Support access card management, visitor processes and basic security checks
- Monitor stock levels for essential items including stationery, first aid, cleaning and kitchen supplies
- Assist with emergency situations such as evacuations or building incidents
- Identify opportunities to improve facilities processes and workplace experience
- Provide ad-hoc reception cover when required
- Support post room operations including scanning, distribution and courier coordination
- Maintain accurate visitor records in line with health and safety and fire regulations
- Safely handle cash and cheques, ensuring they are accounted for and delivered securely
- Assist with general facilities tasks such as flat-pack furniture assembly and low-risk maintenance

About You
Essential experience
- Experience working in facilities, building support, customer service or an operational role
- Experience coordinating contractors or maintenance tasks
- Experience handling day-to-day building queries and office support activities
- Experience working in a large office environment
- Experience supporting compliance checks such as fire alarm tests or inspections
- Good general understanding of facilities management principles
- Basic knowledge of health and safety requirements including fire safety and risk assessments
- Familiarity with building systems such as HVAC, electrical, security and access control
- Strong organisational skills and ability to manage multiple tasks
- Excellent communication and interpersonal skills
- Good problem-solving ability and practical approach
- Confident using IT systems including Microsoft Office
- Ability to work independently and as part of a wider team
- Ability to interpret simple technical information
- Proactive, reliable and flexible with a hands-on approach
- Professional and approachable, able to build positive relationships
- Strong attention to detail and pride in maintaining a high-quality workplace
- Calm under pressure and able to respond effectively in emergencies
- Commitment to safety, service excellence and continuous improvement

Desired experience
- IWFM Level 2 or 3 qualification (or working towards)
- IOSH Working Safely or Managing Safely certification
- Experience supporting office moves or space planning

Working Hours & Additional Pay
- 37 hours per week (Monday - Friday); occasional weekend work may be required.
