About RSHP

RSHP is an international architectural practice who has designed some of world’s most iconic buildings. Our portfolio of projects ranges from the renowned Lloyd’s of London building, a new distillery and visitor centre for The Macallan in Speyside, to The Leadenhall Building, an office tower which is home to the practice’s studio.

The culture in the practice is one of sharing knowledge and coming together for discussion and teamwork. We have over 160 exceptional people from all over the world in our offices in London, Shanghai, Shenzhen and Paris who are working on high-profile projects in over 15 countries.

We are looking for a Facilities/Practice Coordinator to join our team. The successful candidate will be responsible for the smooth logistical operation of the London practice, with particular focus on maintenance of the fabric and plant, liaising with contractors and the coordination of the Front-of-House and kitchen.

Duties

Health and Safety

  • Support a Senior Director in ensuring the practice remains compliant with all relevant health and safety legislation and legal obligations, including coordinating six-monthly Health & Safety meetings.
  • Review and approve RAMS, raise permits, and work closely with the building management team to ensure appropriate procedures are followed.
  • Ensure that health and safety risk assessments and policies are kept up to date, coordinate evacuation procedures and liaise with building management on fire safety matters.
  • As a member of the Business Continuity Team, carry out agreed actions to help support the continued operation of the business.
  • Provide RSHP Paris’ Managing Director with advice and guidance on risk assessments and wider health and safety matters.

Facilities

  • Coordinate the annual Planned Preventative Maintenance programme and respond to any ad hoc maintenance issues as they arise, helping to ensure the studio remains safe, comfortable and well maintained.
  • Review service contracts alongside the Head of IT and act as the main point of contact with building management, including raising customer service requests, arranging permits and booking the loading bay when required.
  • Oversee the ordering of furniture, fixtures and equipment, coordinate the day-to-day movement of equipment and furniture, and ensure the storeroom is kept tidy and well organised.
  • Manage the studio’s cleaning and waste management arrangements, support wider environmental initiatives, and make occasional visits to RSHP’s weekend rental property to ensure it remains in good working order.

Office Coordination

  • Ensure the office environment and on-site storage areas are consistently well maintained, presentable and operating to a high standard.
  • Oversee the smooth running of reception, providing cover during periods of absence where required, and ensure appropriate cover and handover arrangements are in place before any planned absence.
  • Support the implementation of practical sustainability initiatives across the office, including reviewing monthly waste and recycling data and identifying opportunities to improve energy efficiency.
  • Work closely with HR to coordinate internal and external social activities and events, and with the Head of Finance to manage budgets, oversee purchasing, raise purchase orders and process invoices for payment.
  • Ensure office contacts, filing systems, service contracts and associated records are kept accurate and up to date, supporting the effective day-to-day organisation and administration of the office.

Skills and Qualities

  • Have good organisational skills and be able to efficiently multi-task
  • Be able to prioritise own workload and complete tasks in a timely manner/meet deadlines
  • Can work independently and in a team
  • Have a confident, friendly, approachable and professional manner
  • Be able to stay calm in all situations
  • A proactive and innovative approach
  • A full clean UK driving license would be preferable
  • Fire Marshal & First Aider essential
  • IOSH managing safely experience
  • Experience working within a building / facilities department essential

Hours

0900 – 1730 Monday to Friday (on site)
