Food & Beverage Coordinator

We are looking for an organised, analytical and highly collaborative Food & Beverage Coordinator to support the smooth running of our Food & Beverage operation. This role offers flexibility with 32-40 hours per week and can be worked across 4 days, making it ideal for someone seeking a better work-life balance whilst developing their career within a dynamic hospitality environment.

Reporting to the Head of Food & Beverage Operations, this role is central to ensuring the systems, processes and administration that underpin our Kitchens, Bars and Restaurants operate efficiently and accurately. You will be responsible for stock control coordination, purchasing administration, recipe costing, EPOS management, supplier administration and operational reporting, helping our teams focus on delivering exceptional experiences for our members and guests.

Working closely with the Executive Chef, General Manager, Bars Manager, Restaurant Manager, Finance and Programming teams, you will become a trusted point of coordination across the Club, providing essential operational support and maintaining the accuracy of the information that drives decision-making throughout the business.

What You'll Be Doing

  • Coordinating stock control processes across all Food & Beverage outlets, supporting monthly stock counts and variance investigations.
  • Producing and distributing regular reporting on stock performance, gross profit, wastage, purchasing spend and event performance.
  • Raising and managing purchase orders for food, beverage, consumables and operational supplies.
  • Supporting supplier administration, maintaining approved supplier records, pricing information and ordering schedules.
  • Building and maintaining recipes, product lines and menu costings to ensure accuracy across systems.
  • Managing and updating EPOS systems, including pricing, buttons, stock depletion links and user permissions.
  • Monitoring pricing changes and supporting the review of food and beverage profitability.
  • Coordinating Food & Beverage events and activations, maintaining event schedules, critical paths and operational briefs.
  • Supporting menu launches, supplier tastings and departmental projects through effective administration and organisation.
  • Managing meeting schedules, agendas, minutes and action trackers for the Food & Beverage leadership team.
  • Maintaining allergen records, supplier due diligence documentation and compliance records.
  • Ensuring all operational data, reporting and documentation is accurate, current and accessible.
  • Acting as a key liaison between Food & Beverage, Finance, Programming and wider Club departments.
  • Supporting the continuous improvement of systems, processes and operational efficiency across the business.

What Makes You a Great Fit

  • Previous experience in a Food & Beverage Administration, Stock Control, Purchasing or Operations support role within hospitality.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and a commitment to accuracy.
  • Experience working with stock control, purchasing or recipe costing systems.
  • Knowledge of EPOS administration and hospitality operational systems.
  • Strong analytical skills and confidence working with spreadsheets and reporting.
  • Understanding of gross profit, stock management and cost control principles.
  • Excellent communication and relationship-building skills.
  • A proactive, solutions-focused approach and the confidence to work across multiple departments.
  • Ability to manage suppliers and internal stakeholders professionally and effectively.
  • Understanding of food safety, allergen management and compliance requirements.
  • Passionate about hospitality, culture and delivering operational excellence behind the scenes.
