Field Dispatch Co-ordinator

Job Summary:

The Dispatch team sits at the centre of Speedcast's Global Field Engineering operation, coordinating the deployment of Field Engineers and approved third-party engineers to customer sites worldwide, including offshore rigs, commercial and cruise vessels, and land-based locations. The Field Dispatch Coordinator receives dispatch requests from the NOC and Project teams and manages every aspect of the dispatch lifecycle end-to-end — from resourcing and travel to HSE, security, spares logistics and post-dispatch documentation — ensuring engineers arrive at site safely, on time, and fully equipped to complete the work.

Key Area of Responsibility:

  • Receive and log dispatch requests from the NOC and Project teams, confirming scope, priority and site requirements.
  • Assign a suitably experienced Field Engineer — Speedcast or approved third-party — based in the correct location for the job.
  • Coordinate the dispatch directly with the customer site, agreeing access, timing and on-site point of contact.
  • Arrange and book all travel — flights, visas, ground transport, offshore transfers and accommodation — for the assigned engineer.
  • Review HSE requirements for each dispatch, ensuring the engineer holds the certifications and PPE required for the site.
  • Review travel security requirements, including destination risk assessments, and apply any necessary travel advisories or approvals.
  • Identify, arrange and ship suitable spares and equipment to site in line with the job scope and delivery timelines.
  • Work as part of a shift rota providing 24-hour / on-call dispatch support, including nights and weekends.
  • Create and issue all pre-dispatch work packs and field documentation to the assigned engineer.
  • Review and manage all post-dispatch documentation, ensuring completeness and accuracy before close-out.
  • Manage and update ServiceNow Work Orders throughout the dispatch lifecycle, keeping status current for all stakeholders.
  • Prepare and consolidate all dispatch-related documentation and pass to the billing team to support customer invoicing.
  • Carry out all activities in full compliance with Speedcast's QHSE policies, procedures and best practices.
  • Undertake any other ad-hoc duties as reasonably requested by the business.

Job Specification

Academic Qualifications

  • Degree in Logistics, Supply Chain, Business Administration, Telecommunications, or a related discipline
  • Or
  • Equivalent professional experience in dispatch, logistics or field service coordination

Relevant Experience

  • 2+ years' experience in dispatch, scheduling, logistics coordination or field service operations
  • Experience in the satellite communications, telecommunications, maritime, energy or offshore industries is highly desirable
  • Experience coordinating international travel, freight or spares logistics

Technical Know-How

Essential:

  • PC literate in a Windows environment, with strong Microsoft Office skills (Outlook, Excel, Teams)
  • Understanding of HSE requirements and travel security considerations for offshore, maritime and remote sites
  • Ability to coordinate travel bookings (flights, visas, offshore transfers, accommodation) via corporate travel systems

Desirable:

  • Experience with spares/RMA logistics and international freight or customs processes
  • Familiarity with VSAT, maritime or offshore communications equipment and terminology
  • Experience with a work order / ticketing platform such as ServiceNow, or a similar ITSM tool

Skills / Competencies

  • Excellent organisational skills with the ability to manage multiple concurrent dispatches
  • Excellent interpersonal, verbal and written communication skills in English
  • Able to communicate clearly and confidently with customers, engineers and internal teams across time zones
  • Strong attention to detail when preparing work packs, documentation and Work Order updates
  • Calm and decisive under pressure, particularly during urgent or out-of-hours dispatches
  • Capable of assessing HSE and travel security information and applying it correctly to a dispatch

Strength / Character

  • High level of flexibility and adaptability, able to reprioritise quickly as dispatch needs change
  • Willing and able to work a rotating shift pattern providing 24 x 7 on-call coverage, including nights, weekends and public holidays
  • Self-motivated with the ability to work independently and take ownership of a dispatch end-to-end
  • Able to build effective working relationships with a globally distributed team of Field Engineers and third parties
  • Proactive in anticipating issues — such as travel disruption or missing spares — and resolving them before they impact the customer
  • Comfortable working to deadlines in a fast-paced, customer-facing operational environment
