Scheduling Coordinator

Are you highly organised, confident speaking with customers and great at keeping lots of moving parts on track?

We’re looking for a Field Service Scheduling Coordinator to join our Service Support team in Tunbridge Wells. This is a busy, varied role where you’ll coordinate appointments for our field-based engineers and third-party service partners, making sure customers are kept informed and service visits happen as smoothly and efficiently as possible.

You’ll be at the heart of the day-to-day service operation - managing diaries, arranging appointments, following up on outstanding bookings and keeping our systems up to date.

What You’ll Be Doing

  • Managing appointments and diaries for our in-house Field Service Engineers
  • Contacting customers to arrange and confirm service visits
  • Planning diaries efficiently, taking engineer time and travel into consideration
  • Coordinating bookings with third-party service suppliers
  • Proactively chasing outstanding appointments and resolving scheduling issues
  • Keeping customers and internal teams updated on appointments, changes and delays
  • Maintaining accurate information across our service management systems
  • Managing and prioritising requests through the shared Service Support inbox
  • Flagging scheduling conflicts, delays and potential risks to service levels
  • Working closely with Field Engineering, Technical Support, Customer Experience and the wider Service Support team
  • Identifying opportunities to improve scheduling and service processes

What We’re Looking For

You’ll be someone who enjoys being organised, communicating with people and making sure things get done.

You’ll ideally have:

  • Strong organisational and time-management skills
  • Confident and professional communication skills
  • Confidence making a high volume of outbound calls to customers and suppliers
  • Good Microsoft Excel and Office skills
  • Excellent attention to detail
  • The ability to juggle multiple bookings, diaries and changing priorities
  • A proactive approach - you won’t be afraid to chase an outstanding action or resolve an issue
  • The ability to stay calm and organised in a busy, fast-paced environment
  • Previous experience in scheduling, service coordination, diary management, customer service or administration would be advantageous. Experience coordinating engineers or other field-based teams would be particularly useful, but isn’t essential.
  • Experience using CRM, scheduling or service management systems would also be beneficial, although full training will be provided.
