Role Purpose

The Finance Administrator will provide effective day-to-day administrative support to the Finance function, ensuring the accurate and timely processing of financial transactions, customer billing, and account reconciliations.

The Finance Administrator will play an important role in maintaining financial records, supporting credit control activities, and ensuring that customer and supplier accounts are managed efficiently. Working closely with colleagues across the business, the role will contribute to the smooth running of financial processes, providing reliable administrative support and assisting the wider Finance team in meeting key reporting deadlines.

Key Responsibilities

Purchase Ledger & Financial Administration

  • Process purchase invoices, staff expenses, and company credit card transactions, ensuring accuracy and compliance with company procedures.
  • Complete supplier statement reconciliations, investigating discrepancies and resolving outstanding queries in a timely manner.
  • Maintain accurate and up-to-date financial records, ensuring all transactions are appropriately recorded and supported by relevant documentation.
  • Monitor and manage the shared Accounts mailbox, responding to enquiries and ensuring matters are appropriately actioned or escalated.
  • Liaise with suppliers and internal departments to resolve invoice queries and support the efficient processing of financial transactions.

Sales Ledger, Billing & Credit Control

  • Prepare and process customer sales invoices, ensuring billing information is accurate and completed within agreed timescales.
  • Manage routine customer billing activities, including ATI claims and the calculation and processing of storage charges.
  • Monitor debtor balances, proactively chasing outstanding payments and supporting effective credit control.
  • Undertake customer account reconciliations, investigating discrepancies and resolving billing or payment-related queries.
  • Maintain positive working relationships with customers and internal teams to support accurate and timely financial processes.

Month-End & General Finance Support

  • Assist with month-end activities, including reconciliations, journal preparation, and routine financial reporting.
  • Support the Finance team in maintaining accurate financial information and meeting key reporting deadlines.
  • Identify and highlight discrepancies or opportunities to improve existing financial and administrative processes.
  • Provide general administrative support to the wider Finance function, assisting with additional tasks as required.

Additional Responsibilities

  • Undertake and accurately record routine water temperature checks in accordance with company procedures, escalating any concerns as appropriate.
  • Demonstrate a flexible and collaborative approach, supporting wider business requirements where reasonably required.
  • Act as a G Comms ambassador and promote our successes, our culture, and enhance our internal and external customer experience.
  • Undertake any other duties commensurate with the level of the role, as requested by management.
