Job Title: Billing Assistant / Administrator

Location: Livingston, Scotland (In-office 5 days a week)

Job Type: Full-Time

Salary: Up to £25K + benefits

About the Opportunity:

We are recruiting on behalf of our client for a meticulous and organised Billing Assistant to join their finance team. The successful candidate will play a key role in ensuring the accurate preparation, processing, and management of client invoices in a dynamic, fast-paced environment.

Key Responsibilities:

  • Support the preparation and issuance of accurate and timely client invoices.
  • Review billing data, identifying and resolving discrepancies or missing information.
  • Collaborate with internal departments, including sales, legal, and operations, to ensure billing accuracy.
  • Maintain precise billing records and client account information.
  • Monitor the billing inbox, responding to client queries promptly and professionally.
  • Assist with issuing credit notes, re-bills, and adjustments as needed.
  • Contribute to month-end and year-end closing processes.
  • Support reporting on billing metrics and performance as required.
  • Provide general administrative support to the finance team.

Key Requirements:

Essential:

  • Proficient in Microsoft Excel and other MS Office tools.
  • Exceptional accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and collaboratively within a team.

Desirable:

  • Experience with finance or billing software, such as Xero.
  • Knowledge of basic accounting principles.
  • Experience in a professional services or client-facing environment.
